About The Position

As a Client Onboarding Specialist at Empower, you will play a pivotal role in ensuring seamless operations and exceptional client experiences by establishing new client accounts and facilitating the transfer of assets process from start to finish.

Requirements

  • High school diploma or equivalent.
  • A minimum of two years of experience in financial services operations.
  • Current knowledge of investment products and financial services.
  • Experience supporting investment advisory client service activities, including ACATS and IRA distributions.
  • Experience with web-based investment service delivery and comfort operating in a paperless, branchless, cloud-based service environment.
  • Strong operational, organizational, and follow-up skills with the ability to manage complex and time-sensitive operational work.
  • Knowledge of policies and procedures associated with regulatory requirements.
  • Strong written and verbal communication skills, including the ability to explain complex operational processes clearly to clients.
  • Strong critical-thinking, judgment, and problem-solving skills.
  • Proactive approach to identifying client needs, taking ownership of issues, and driving timely resolution.
  • Ability to apply a logical, systematic, and sequential approach to problem solving.

Responsibilities

  • Work directly with Empower investment clients and Financial Advisors to establish new client accounts and facilitate asset transfers using proprietary and third-party technology solutions.
  • Serve as a primary point of contact for new clients consolidating outside accounts to Empower, providing high-touch service throughout the onboarding and transfer process.
  • Manage cash and asset movement activities, including Automated Customer Account Transfer Service (ACATS), wire transfers, and ACH transfers.
  • Facilitate three-way calls with outside financial institutions, provide rollover instructions, and assist clients with required account-opening and transfer documentation.
  • Follow up with clients by phone, email, and text regarding outstanding documentation or information needed to complete account opening and asset transfers.
  • Partner with Financial Advisors and the Investment Committee to support appropriate implementation of client portfolios.
  • Explain complex money-movement and asset-transfer processes clearly and professionally to clients by phone and email.
  • Escalate time-sensitive client and operational issues to management and the Sales organization as appropriate.
  • Liaise with broker-dealer custodians and portfolio management providers regarding client operational matters.
  • Coordinate with management to update procedures and improve operational efficiency, accuracy, and completeness.
  • Perform daily reviews of outstanding work to support timely processing and a positive client experience.
  • Assist with monthly and quarterly reporting, departmental projects, and additional ad hoc operational processes.
