About The Position

The Client Onboarding Specialist – Complex Accounts is an experienced onboarding professional responsible for managing a full range of new client account openings, including standard and complex registrations. This role serves as a subject matter resource for trusts, estates, business entities, and other non-standard account structures, while helping deliver an accurate, efficient, and client-friendly onboarding experience. The Specialist also supports scalable onboarding processes and capabilities for high-net-worth and ultra-high-net-worth clients. This is a fully remote position. We're open to candidates located across the United States, however you must be available to work 9am-5pm Pacific. In the spirit of pay transparency, we are excited to share the base salary range for this position is $70,000.00 to $85,000.00, exclusive of bonuses and benefits. Requirements

  • 5+ years of financial services experience, including hands-on client onboarding and account-opening experience.
  • Experience opening complex accounts, including trusts, estates, LLCs, partnerships, corporations, and other entities.
  • Strong knowledge of account registrations, ownership structures, and documentation requirements.
  • Strong attention to detail, communication, organization, and problem-solving skills.
  • Ability to manage multiple priorities and independently drive issues to resolution.

Nice To Haves

  • Experience with Schwab Advisor Center and/or Fidelity WealthScape strongly preferred.
  • 4-year college degree preferred.

Responsibilities

  • Independently manage onboarding for standard and complex account types.
  • Prepare and review WEAS and custodial documentation and establish accurate account records in Salesforce.
  • Review trust, estate, and entity documentation for completeness, consistency, and appropriate registration.
  • Manage outstanding requirements, NIGO items, exceptions, and documentation issues through resolution.
  • Ensure onboarding activities comply with WEG policies, Suitability Guidelines, custodian requirements, and applicable regulations.
  • Perform quality review of onboarding documentation to ensure accuracy and completeness, including work completed by offshore team members.
  • Research and resolve account-opening issues in partnership with Advisor Teams, custodians, Supervision, Operations, and other internal teams.
  • Identify missing or inconsistent information and determine appropriate next steps.
  • Escalate unusual, higher-risk, or complex situations as appropriate.
  • Serve as the primary liaison between RVPs, Advisor Teams and Client Onboarding, acting as the first point of contact for onboarding questions, status updates, and issue resolution.
  • Serve as a subject matter resource, providing guidance on onboarding requirements, documentation, and complex registrations.
  • Provide training, mentorship, and technical support to junior onboarding team members.
  • Help develop and maintain onboarding playbooks, checklists, documentation standards, and escalation procedures.
  • Identify opportunities to improve workflows, reduce rework, and improve the Advisor and client experience.
  • Contribute to scalable processes and service standards for standard and complex, including ultra-high-net-worth clients, onboarding needs.
  • Participate in process and system enhancements, including Salesforce-related improvements.
  • Independently manages onboarding requests, including complex and non-standard accounts.
  • Takes ownership of day-to-day Advisor Team support, escalating issues to management when appropriate.
  • Serves as an escalation point and subject matter resource for complex account-opening needs.
  • Provides guidance and mentorship to junior team members.
