About The Position

We are seeking a highly organized, customer-focused, and detail-oriented Client Intake & Administrative Coordinator to join our team. This role is ideal for someone who enjoys helping people, thrives in a fast-paced environment, and can efficiently manage multiple responsibilities while providing exceptional client service. The successful candidate will serve as the first point of contact for clients, helping coordinate communications, schedule appointments, maintain accurate records, and ensure a smooth client experience from initial contact through follow-up.

Requirements

  • Experience using Clio or similar case management/CRM software.
  • Previous experience in client intake, administration, scheduling, customer service, or call center environments.
  • Patient and friendly (The majority of calls will be from Elderly People)
  • English language proficiency.

Nice To Haves

  • Legal industry experience is a plus but not required.

Responsibilities

  • Send appointment reminders and follow-up communications.
  • Maintain accurate client data in company systems.
  • Conduct initial client intake and gather relevant information.
  • Manage calendars and appointment scheduling.
  • Schedule and coordinate meetings both in-office and virtually.
  • Perform regular client follow-ups and maintain ongoing communication.
  • Provide recommendations and process improvement suggestions when appropriate.
  • Make outbound calls to clients and prospective clients.
