About The Position

Best Friends Animal Hospital is seeking an experienced, full-time Client Care Specialist to join their dedicated team. As one of the first points of contact for clients and patients, the role is important in creating a welcoming, organized, and compassionate experience from the first phone call through checkout. Client Care Specialists are at the heart of the hospital, providing personalized service, managing client communications, coordinating appointments, and helping keep daily operations running smoothly. This role is ideal for someone who thrives in a fast-paced environment, enjoys connecting with people, loves animals, and is passionate about veterinary medicine.

Requirements

  • A minimum of three years of client service experience
  • High school diploma or equivalent
  • Experience handling cash, checks, and credit card transactions
  • Outstanding communication and interpersonal skills
  • Strong time-management and organizational abilities
  • Ability to multitask, prioritize, and stay organized in a busy environment
  • A calm, professional, and compassionate demeanor under pressure
  • A trustworthy, dependable, and team-oriented approach
  • Passion for pet welfare and exceptional client service
  • Strong attention to detail and commitment to accuracy
  • Ability to work independently when needed while remaining an engaged member of the team
  • Availability to work 10-hour shifts, including evenings, weekends, and holidays as needed

Responsibilities

  • Welcome clients and patients with professionalism, warmth, and compassion
  • Serve as a first point of contact for clients both in person and over the phone
  • Answer incoming calls and assist clients with questions and requests
  • Schedule appointments and coordinate client communications
  • Admit and discharge patients efficiently and accurately
  • Maintain accurate client and patient information
  • Maintain client accounts and process payments
  • Handle cash, checks, and credit card transactions accurately
  • Assist with client education and provide appropriate support throughout the veterinary visit
  • Respond to inquiries while delivering exceptional customer service
  • Communicate clearly and compassionately with clients, including during stressful or emotional situations
  • Coordinate with veterinarians, technicians, assistants, and other hospital team members
  • Help maintain an organized and efficient front desk
  • Support daily hospital operations and workflow
  • Contribute to a positive experience for every client and patient
