About The Position

The Client Care Specialist I (CCS I) will work as part of the clinic team to ensure that patients receive the best possible customer service. This role is responsible for answering incoming phone calls, checking in/out patients, handling money transactions based on patient balance, and assisting patients with their needs. The CCS I will also be involved in opening and closing procedures for the clinic, maintaining cleanliness, and performing various administrative tasks to support the clinic's operations.

Requirements

  • High School diploma or equivalent required.
  • Superior written and verbal communication skills.
  • Ability to speak, read, and write English fluently required.
  • Proficiency in the use of a Windows Computer and Microsoft office products.
  • Adherence to HIPAA and HIITECH guidelines at all times.

Nice To Haves

  • Minimum 1 year of relevant experience preferred.
  • Experience in an outpatient medical office preferred.
  • Graduation from an Accredited College, University, or trade school with a degree, license, or certificate in a relevant field preferred.

Responsibilities

  • Perform opening procedures including unlocking the front door, turning on TVs, playing music, vacuuming common areas/rooms, and checking restrooms.
  • Check patients in and out, handle money transactions, set up payment plans, and manage cash drops.
  • Process new patients by obtaining consent, verifying measures, scanning insurance and driver's licenses, and taking patient photos.
  • Answer phones and check voicemails.
  • Call late or no-show patients after 5 minutes of their scheduled appointment time.
  • Verify patient demographics including address, phone number, insurance information, appointment reminders, guardians, guarantor, and email address.
  • Take messages and email patient questions to CCS II for the designated provider, documenting actions in the patient's chart.
  • Set up and remove notifications as needed.
  • Schedule new patient and follow-up appointments.
  • Assist CCS IIs with faxing ROI's and disability/FMLA paperwork.
  • Upload medical records to patient charts.
  • Check bathrooms twice daily to ensure cleanliness and adequate supplies (paper towels/toilet paper).
  • Dust and wipe down countertop surfaces, patient waiting areas, common areas, and clean glass windows on office doors.
  • Perform closing procedures including ensuring office cleanliness, taking out trash, and locking all doors before leaving.
  • Present appropriate, courteous customer service to all patients in person and over the telephone.
  • Perform other duties as assigned by a supervisor.
