About The Position

Mercer University is searching for a Clerkship Coordinator at our clinical campus in Valdosta, GA. The Clerkship Coordinator manages the 3rd and 4th year programs at our clinical campus in Valdosta, GA, including but not limited to the South Georgia Medical Center (SGMC), to ensure effective service to the students and administrative support for the clinical faculty. Primarily, this position shall coordinate the clinical education program for third year medical students. This position will contribute to the Clerkship Manuals in written and web-based formats. This position will serve as the ex-officio member of the Clerkship Directors Sub-Committee of the Curriculum and Instruction Committee and maintain all records for these committees in coordination with other campuses. This position acts as liaison between MUSM and South Georgia Medical Center, medical schools, hospitals, and physician offices. This position will supervise maintenance of the student lounge and facilities at the hospital and work with Year 3 program Director for third year curriculum and curriculum support concerns. This position will also assist with content input and management in the learning management system and with the master grade reporting in One45 and Excel. This position will serve as the Valdosta clinical site proctor for internal program exams as well as NBME exams. This position manages and promotes relationships with administrators, faculty, and staff at SGMC Medical Center and other Valdosta clinical sites, manages credentialing, and serves as the point of contact for students and clinical faculty for MUSM. This position will be based at South Georgia Medical Center and required to travel to additional off-site clinics and facilities as an essential part of the job. This position will also provide remote support for the third and fourth year programs on other MUSM campuses as needed.

Requirements

  • Two years of college coursework and two years of administrative support experience are required.
  • In lieu of education, equivalent directly related experience will be considered.
  • Candidates must have a valid driver's license as this position requires some travel.
  • Advanced Excel skills to create and manage various academic and curricular databases.
  • Capable of organizing and prioritizing workloads to meet deadlines under high pressure.
  • Capable of learning, instructing, and managing a variety of software platforms and programs (for example, One45, Canvas, ExamSoft, etc.) for the delivery and evaluation of the curriculum and the assessment of students.
  • Ability to maintain confidentiality of all academic records and ensure this confidentiality even when communicating with students, faculty, and administration.
  • Must exhibit ethical, reliable, and dependable behavior, ability to maintain constructive interpersonal relationships, ability to use judgment to set priorities, teamwork attitude, flexibility, adaptability, and ability to work independently to prioritize/complete tasks.
  • Ability to multi-task, troubleshoot, and problem-solve.
  • Must have proficiency in Microsoft Office programs, particularly Word and Excel.
  • Ability communicate (verbal and written) with many organizations internal and external to the university.
  • Must be detail oriented and highly organized to complete projects for successful outcome.

Responsibilities

  • Coordination of student schedules
  • Scheduling and proctoring of all third year NBME exams
  • Collection/distribution/statistical reports of student grades to: students, appropriate faculty, and necessary committees
  • Orientation/hospital–specific training for students
  • Makes arrangements/verifies records for visiting students
  • Point of contact for students and clinical faculty with MUSM
  • Contribute to the Clerkship Manuals in written and web-based formats

  • Forge and maintain strong working relationships with Academic Affairs and applicable university committees, by assisting and supporting clerkship staff and faculty across all campuses
