About The Position

The City of Fredericton is seeking a detail-oriented and adaptable Clerk in the Support Services Division of the Fredericton Police Force. This position provides essential clerical support, ensuring the smooth operation of police services. This may include operational reports, applications, licenses, permits, contracts, and requisitions. Clerks process specialized requests, compile and verify documents, and maintain accurate records in the Records Management System (RMS). They also assist with public inquiries, court documentation, and daily administrative tasks that support the delivery of professional police services. This role is a chance to support safety, fairness, and public service within the Fredericton Police Force.

Requirements

  • Completion of appropriate post-secondary courses, or an equivalent combination of training and experience.
  • Minimum of one (1) year of related clerical or administrative experience.
  • Knowledge of modern office practices, procedures, and equipment (Microsoft Word, Excel, Outlook, photocopiers, printers).
  • Ability to deal effectively with difficult customers.
  • Strong organizational skills to manage workload and meet deadlines.
  • High level of accountability and ethical decision-making.
  • Effective interpersonal communication skills to build rapport and maintain positive relationships.
  • Adaptability to respond calmly and flexibly in changing or stressful situations.
  • Proven problem-solving abilities to evaluate information and develop workable solutions.
  • Thorough knowledge of modern office practices, procedures, and equipment, including the Microsoft Office suite.

Nice To Haves

  • Experience with or Knowledge of Versadex RMS, JIS, or Motor Vehicle systems is considered an an asset.
  • Bilingual proficiency (English and French) at an intermediate level is an asset.
  • Knowledge of departmental operating procedures, policies and guidelines would be considered an asset.

Responsibilities

  • Perform Criminal Record Checks.
  • Prepare supporting court documentation.
  • Provide reception and switchboard services, directing public walk-ins and answering the main police line.
  • Conduct data entry for tickets, motor vehicle accidents, and telephone reporting complaints.
  • Enter data from complaints received through the telephone queue.
  • Manage filing, scanning, and document storage in RMS.
  • Deliver and pick up mail within City Hall and the police building.
  • Update schedules and assist with billing and correspondence.
  • Support colleagues by demonstrating tasks for back-up or after-hours services.
  • Carry out other duties as required.
