About The Position

To provide clerical support services to staff attorneys and investigators in the Office of Public Defender. This role involves handling confidential matters, maintaining client files, inputting case data into the Office of Public Defender case management system, and sending out notices of client trial dates. The position also requires creating legal documents such as motions and orders, typing letters or briefs, answering the telephone, providing information to various stakeholders, taking messages for attorneys, copying court files, faxing documents, and utilizing computer terminals to obtain information. Other duties may be assigned.

Requirements

  • High school diploma or general education degree (GED).
  • Ability to accurately type a minimum of 45 words per minute.
  • Knowledge of modern office practices.
  • Knowledge of principles of modern record keeping.
  • Knowledge of setup and maintaining filing systems.
  • Ability to learn legal phrases and terminology.
  • Skill in operating a personal computer.
  • Skill in using word processing software (Microsoft Word).
  • Ability to read and comprehend simple instructions, correspondence and memos.
  • Ability to write correspondence.
  • Ability to effectively present information in one-on-one and small group situations to the general public, co-workers and other employees of the Office of Public Defender.
  • Good working knowledge of the English language and spelling.
  • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.

Responsibilities

  • Handle confidential matters relating to the Office of Public Defender.
  • Maintain a variety of office files and records including client files on pending criminal and juvenile delinquency cases.
  • Record case data, including inputting in the Office of Public Defender case management system.
  • Send out notices of client trial dates using case management system.
  • Create motions, orders and many other legal documents that may be needed.
  • Type letters or briefs for assigned attorneys.
  • Answer the telephone and provide information to Office of Public Defender staff, judges, law enforcement, clients and the general public.
  • Take messages for attorneys.
  • Copy court files and fax documents.
  • Obtain information utilizing the Office of Public Defender computer terminals.
