About The Position

Perform clerical functions for the Parks and Facilities division. This role involves managing permit applications, responding to public inquiries, maintaining records, and performing general office duties.

Requirements

  • High school graduation.
  • 2 years of related experience.
  • Typing speed of 60 wpm.
  • Working level operation of current City of Victoria word processing, spreadsheet, and database programs.
  • Ability to organize and prioritize work.
  • Ability to maintain accurate records.
  • Ability to deal with the public and outside agencies in a courteous and tactful manner.
  • Ability to understand and apply techniques of office procedures.
  • Ability to establish and maintain effective working relationships.
  • Ability to communicate effectively.

  • May be requested to substitute in a more senior position.

Responsibilities

  • Receive, process, distribute, and track permit applications.
  • Assist with the permitting process and ensure application completeness.
  • Enter and update permit-related transactions in the computerized system, including conditions, deposits, and fees.
  • Prepare documents for permits and services, collect deposits, refunds, and fees, and maintain payment records.
  • Process deposit refunds.
  • Respond to inquiries from the public, other departments, and outside agencies regarding Parks and Facilities programs and services.
  • Schedule on-site appointments and direct inquiries to the appropriate City Department or division.
  • Maintain a variety of manual and computerized spreadsheets, records, and files.
  • Assist with data entry, enter and close Calls-for-Service, and perform payroll time entry.
  • Type letters, reports, minutes, agendas, memos, forms, invoices, requisitions, inventory sheets, and reports.
  • Coordinate training schedules.
  • Complete expense claim forms.
  • Operate office equipment.
  • Sort and distribute mail and deliveries.
  • Order and maintain office supplies and general equipment.
  • Perform related duties where qualified.
