About The Position

The job of Clerk II is done for the purpose of greeting and directing visitors, responding to inquiries from staff, the public, parents, students, etc., providing clerical support to administrative personnel, and providing requested information and/or referral to other parties that participate or need support with resources and referrals related to the Family Resource Center’s First Things First grant. This position requires flexible work hours that align with the hours of program and event calendars. The workweek may include nights and weekends, and may involve working irregular hours in order to meet grant requirements. This position is performed in a generally clean and healthy environment.

Responsibilities

  • Answers telephone system for the purpose of screening calls, transferring calls, responding to inquiries, and/or taking messages, emailing messages.
  • Coordinates a variety of projects, functions and/or program components (e.g. meetings, substitute coverage, maintains electronic calendars for the public etc.) for the purpose of completing activities and/or delivering services in a timely fashion related to First Things First grant funding.
  • Greets individuals entering the building (e.g. visitors, parents, students, vendors, etc.) for the purpose of responding to inquiries; and/or directing individuals to appropriate location in accordance with established building security procedures.
  • Inputs data into commercial and customized databases (e.g. attendance, scheduling, transcripts, etc.) for the purpose of ensuring accuracy of data.
  • Maintains a wide variety of manual and electronic documents files and records (e.g. absence reports, etc.) for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
  • Performs general clerical functions (e.g. copying, faxing, data entry, filing, purchase orders, purchasing work orders for building maintenance etc.) for the purpose of supporting grant operations.
  • Schedules a wide variety of activities (e.g. appointments, building use, bus and van usage, etc.) for the purpose of making necessary arrangements for the Family Resource Center.
  • Supports program with setup and breakdown of tables, chairs, materials as well as cleaning program materials.
  • Maintains reception area materials for the purpose of providing resource information to visitors.
  • Monitors individual and/or groups of students in a variety of settings (e.g. During adult only parenting programs) for the purpose of providing a safe and positive learning environment.
  • Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
