About The Position

The Clerical Support Specialist provides clerical and scheduling support to a multi-disciplinary team of nurses, social workers, and other healthcare professionals who assist clients and their caregivers in maintaining independence at home through the Home and Community Based Alternatives (HCBA) Waiver Program. This role ensures efficient coordination of services, accurate recordkeeping, and effective communication among staff, clients, and providers to support high-quality, person-centered care.

Requirements

  • One year+ of work experience as clerical support or data entry preferably with medical office experience.
  • Strong organizational skills with attention to detail.
  • Ability to maintain confidentiality to HIPAA standards.
  • Ability to work with diverse populations and values putting the patient and customer first in a culturally sensitive manner.
  • Strong written and verbal communication skills.
  • Knowledge of the principles of file and records management.
  • Ability to follow through with projects with minimal assistance and supervision.
  • Critical thinking skills with the ability to prioritize projects, work relatively independently, manage multiple tasks, and meet recurring deadlines.
  • Ability to cooperate and communicate effectively with clients, supervisors, and co-workers, creating a mutually beneficial working relationship.
  • Proficiency with Microsoft Office suite including Outlook, Word, and Excel.
  • Ability to work with others, at all levels within the organization, and collaborate effectively.
  • Ability to type 45 WPM with 5 or less errors.
  • Willingness to learn new skills
  • Valid California Driver’s License.
  • Eligible to be insured under our liability policy with a clean DMV report.
  • Have your own vehicle and proof of current auto insurance.
  • High School Diploma or GED equivalent.
  • Ability to communicate effectively and efficiently in English, both verbally and in writing.

Nice To Haves

  • Bilingual (Spanish, Russian) language is a plus.

Responsibilities

  • Manage scheduling requests for appointments with participants and the RN and Social Work HCBA Case Managers. Paying attention to color coding requirements of the scheduling tool that is utilized for managing caseloads.
  • Assist in maintaining case manager schedules with input from the HCBA Program Director, Human Resources/Office Manager, CEO, HCBA Program Managers, HCBA Program coordinators, HCBA Training Coordinators (RN & MSW), as well as RN Case Managers, and SW Case Managers.
  • Communicate regularly with the HCBA managers/administration staff and Case Managers to evaluate and adjust service scheduling as necessary to maintain agency and DHCS requirements for visits made to HCBA participants.
  • Add additional scheduling information to Excel spreadsheets tracking participant lists by teams, completed calls, and received documentation.
  • Notify HCBA administrative/program managers if caseload information on Excel sheets updated by case managers or MedCompass documentation do not appear to maintain expected productivity or documented visits/calls made to participants as scheduled.
  • Process large volumes of paperwork received electronically and via U.S. Mail; upload all relevant information into clients’ medical records.
  • Prepare professional correspondence to clients/patients, physicians, and other healthcare providers.
  • Support quality assurance activities, including review and audit of medical records.
  • Take meeting notes and prepare accurate, well-organized minutes for team distribution.
  • Verify Medi-Cal insurance coverage for clients as needed.
  • May assist in obtaining medical records from hospitals, county welfare offices, clients, or medical providers. May call county IHSS offices for Notice of Action for IHSS summary documents. May assist in dropping off certified letters to US Post office for ALJ hearings or other legal correspondence.
  • Respond promptly to client and provider phone calls regarding HCBA inquiries.
  • Provide clerical support across all HCBA program administrative functions; cross-trained in multiple support areas.
  • Notify local Program manager and chico supply coordinator for any office supplies that are necessary to maintain the office and need to be reordered.
  • Perform other duties as assigned to ensure efficient program operations.
