In this role, you'll provide day-to-day administrative support that keeps our office organized and running smoothly — from managing schedules and records to preparing documents and coordinating with staff throughout the office. You'll play an important part in helping our paralegal and broader team stay on top of deadlines and deliverables in a fast-paced medical practice setting. Requirements

  • Administrative experience in a similar type role
  • Proficiency with Microsoft Office (Word, Excel, Outlook)
  • Strong organizational skills and attention to detail
  • Ability to handle sensitive and confidential information in accordance with HIPAA and applicable privacy regulations
  • Reliable, professional, and able to work well both independently and as part of a team

Nice To Haves

  • Experience in a medical or legal office setting
  • Familiarity with medical or legal document preparation

Responsibilities

  • Manage scheduling and calendar coordination for the paralegal and related case activities
  • Organize, file, and maintain both physical and digital documents
  • Perform accurate data entry and maintain up-to-date records
  • Prepare, copy, and assemble legal and medical documents as needed
  • Walk throughout the office to obtain signatures and gather documents
  • Support general office operations and assist with other administrative tasks as assigned
  • Maintain confidentiality and comply with HIPAA and organizational policies
