About The Position

The Summit Center is Western New York’s leading provider of evidence-based services for children and adults with autism and other developmental, social, and behavioral challenges. Our team is dedicated to helping every individual we serve achieve their highest level of independence. As a Clerical Program Assistant, you will support daily operations by performing moderately complex clerical and administrative tasks, maintain confidential records, and respond to routine inquiries. Use office software and systems to ensure accuracy and efficiency while assisting staff in accordance with agency policies. Contribute to agency-wide process improvements and may support staff training.

Requirements

  • High school diploma or GED required
  • Minimum one year experience in clerical capacity

Responsibilities

  • Uses multi-line telephone
  • Provide reception coverage as needed
  • Process Paperwork related to program or service recipients (e.g., billing, case notes, etc.)
  • Data entry and tracking
  • Processes Purchase Orders
  • Schedule and/or attend meetings, including Program Assistant meetings
  • Assists in management, data entry and maintenance of designated division records and student information systems
  • Create systems to share information with program or division staff
  • Process and disseminate information to program or agency staff
  • Maintain and update all systems and processes for accuracy and as needs/requirements change
  • Liaison to funders and/or other outside agency staff.
  • Respond to inquiries or requests from students, participants, guardians, families or other agents, as necessary
  • Create and process necessary reports on a regular basis, or as needed
  • Gather eligibility and enrollment documentation
  • Work with program administrators to create, update and disseminate routine informational documents to program or agency staff
  • Communicate with program staff regarding regularly scheduled paperwork responsibilities
  • Assist program staff with processing regularly scheduled paperwork responsibilities
  • Process a variety of paperwork required by associated referrers or funders (this may include, but is not limited to amendments, report cards, prescriptions, evaluation requests, enrollment paperwork, etc.)
  • Work with program administrators to create, and/or update SOPs
  • Develop SOP’s as required.
  • Assist in the development and implementation of agency-wide systems and processes (e.g., records management systems, reception)
  • Monitor existing procedures and make recommendations for changes that would recognize greater efficiencies, by program or agency-wide
  • Keep abreast of changing requirements, and make recommendations for modifications or revisions to existing practices, as necessary
