About The Position

The Clerical Coordinator I maintains clerical organization within the department. This role ensures accurate and timely order entry, including the maintenance of all reports, chart forms, and instructions in patient charts. The position involves processing orders for tests, procedures, and special requests accurately, even during downtime. A key responsibility is ensuring the accurate and timely completion of forms to expedite patient care and maintaining/updating pertinent patient information on computer systems, EMR, communication venues, and with appropriate departments. The role also includes routine checking and ordering of supplies, monitoring electronic orders, expediting STAT orders, and greeting visitors. The Clerical Coordinator I serves as a primary resource for physicians, NPs, PAs, and RNs, completes the Census sheet nightly, and handles telephone and call light duties promptly and courteously. They follow protocol and assist in coordinating unit activities during emergencies, notify nurses of physician rounds, and ensure follow-up and resolution of computer equipment issues related to clinical documentation. A thorough understanding of EMR challenges and proficiency in navigating and ensuring compliance with the EMR system is essential, providing first-line support for workflow education and troubleshooting.

Responsibilities

  • Maintains clerical organization within the department.
  • Ensures order entry is accurate and timely, including maintenance of all reports, chart forms, instructions in patient charts.
  • Processes orders for tests, procedures and special requests accurately during downtime procedures.
  • Ensures accurate and timely completion of forms to expedite patient care.
  • Maintains and updates pertinent patient information on computer systems, EMR, communication venues and with appropriate departments in a timely manner.
  • Routinely checks and orders supplies, following up to ensure stock is available to meet the needs of the unit and informing appropriate personnel if items are unattainable.
  • Monitors electronic orders, processes orders (faxing, order entry), expedites STAT orders and notifies nurse.
  • Greets visitors.
  • Directs ancillary staff for patient pick up.
  • Is the “Go-To” resource for all physicians, NP’s, PA’s and RN’s.
  • Completes the Census sheet each night at midnight.
  • Answers the telephone and call light promptly and courteously, relaying messages in a timely manner to the appropriate caregiver.
  • Follows protocol and helps coordinate unit activities during emergency situations.
  • Notifies nurses when physicians are making rounds on the unit.
  • Ensures appropriate follow-up and resolution of computer equipment used for clinical documentation.
  • Ensures appropriate follow-up and resolution of issues and care.
  • Has a thorough understanding of the challenges of fellow clinicians in using EMR.
  • Is proficient in navigating EMR.
  • Ensures compliance with usage of the EMR system.
  • Provides ongoing first-line support for workflow education and troubleshooting, even during non-activation times.
