About The Position

FBT Gibbons LLP is a national law firm seeking a CLE/Bar Compliance Assistant to serve as a key resource for attorneys by managing Continuing Legal Education (CLE) accreditation, compliance reporting, and bar licensure tracking. The ideal candidate is detail-oriented, highly organized, and comfortable managing multiple deadlines while supporting attorney compliance and licensure requirements across jurisdictions.

Requirements

  • Bachelor’s degree or an equivalent combination of education and experience.
  • Minimum one year of related experience; professional services experience preferred.
  • Intermediate technology skills, including proficiency with Microsoft Office applications such as Excel, Word, PowerPoint, and Outlook.
  • Ability to handle confidential and sensitive information with the appropriate discretion.
  • High attention to detail and strong organizational skills, with the ability to follow established processes and identify opportunities for improvements.
  • Strong written and verbal communication skills with the ability to collaborate with individuals at all levels of the firm.
  • Ability to draft correspondence and effectively present information in one-on-one and small group situations to attorneys, clients, and other individuals.
  • Ability to deliver exceptional client service, demonstrate flexibility, adapt to changes, and be team oriented.

Responsibilities

  • Maintain and track attorney Continuing Legal Education (CLE) accreditation, credit tracking, and compliance records across multiple jurisdictions.
  • Support the accreditation process for firm sponsored CLE programs, including preparing and submitting applications to state bar boards.
  • Monitor CLE and bar compliance deadlines and proactively notify attorneys of upcoming requirements or deficiencies.
  • Retrieve, prepare, and distribute CLE and bar compliance reports for attorneys, firm leadership, and practice groups.
  • Serve as the primary point of contact for CLE and bar related inquiries, responding to routine questions and escalating issues as appropriate.
  • Maintain accurate records of attorney licenses, bar statuses, jurisdictional requirements, and annual good standing checks.
  • Coordinate logistics for internal CLE programs, including attendance tracking, materials distribution, and evaluations.
  • Maintain and reconcile attorney and user data within CLE tracking systems and CLE resources.
  • Assist with onboarding and offboarding processes related to attorney bar licensure and compliance.
  • Collaborate with internal teams, including Finance, Marketing, and the Office of Legal Affairs, to support compliance related initiatives and external CLE programs.
