About The Position

The Department of Occupational Science & Occupational Therapy’s Classroom Support Assistant provides high-quality, daily classroom support for all of the Department's programs at the Surrey site. This role is integral to the operations and goals of the Department in its provision of excellent client service and program support in all distributed sites. The Classroom Support Assistant will ensure that teaching and learning spaces are set-up for classes by gathering and organizing equipment, ensuring equipment is in working order, and keeping teaching spaces organized and tidy. The incumbent is required to respond on very short notice and resolve issues that arise in an efficient, calm, and customer-service oriented manner. To fulfil the operational requirements of this position, the incumbent will be required to start work at 8:00 am, must be physically able to lift and move equipment such as therapy beds, clinical equipment, stacked chairs, etc., and work in-person 100% of the time. The role performs administrative duties such as class scheduling, room bookings, and supporting written and clinical exams. The incumbent will also act as a liaison with MEDIT/UBC IT to ensure audio-visual equipment that facilitates learning functions correctly. While this position is based out of our Surrey site on a permanent basis. Occasional over-time or weekend work may be required during events and exams.

Requirements

  • High School graduation, plus one year of post-secondary education, plus three years of related experience, or an equivalent combination of education and experience.

Responsibilities

  • Sole responsibility for daily organization of teaching and learning spaces at the Surrey site for two cohorts of students, such as: setting up spaces, tear-down and tidying, and maintenance of equipment in clinical teaching spaces.
  • Providing instructor and student support during class time: responding to and resolving complex issues in teaching spaces that arise with little notice, assisting faculty and instructors (some of whom are unfamiliar with UBC procedures) in a prompt, helpful and courteous manner.
  • Liaises with MEDIT/UBC IT to resolve videoconferencing issues in teaching spaces and meeting rooms.
  • Provides site-specific support to all student exam accommodations
  • Ensures teaching equipment is well maintained and submits requests for maintenance on AV equipment.
  • Works with IT to ensure maintenance/repairs occur in a timely manner.
  • Monitors equipment stores and ensures new or replacement items are ordered and purchased in a timely manner.
  • Maintains storage areas for teaching and exam equipment.
  • Ensures storage areas are well organized and equipment is accessible and easily found by instructors.
  • Receives equipment and teaching space requirements from course coordinators, faculty, and external instructors, and ensures those requirements are met.
  • Liaises with Classroom Operations staff at other sites to ensure substantial equivalency in learning space set up and equipment use to ensure accreditation requirements are met
  • Orders, tracks, and receives equipment and site specific keys for program use.
  • Tracks and reconciles purchases to ensure costs remain within allocated budgets
  • Prepares equipment in advance of all exams and events on site.
  • Receives equipment and tidies up after events.
  • Liaises with Building Operations to maintain teaching and learning spaces.
  • Provide administrative and logistical support to programs on site.
  • Receives and responds to all room booking requests on site from within and outside the Department, maintains the site’s internal room booking calendars.
  • Ensures external room bookings meet Department policy guidelines.
  • Supports the planning and preparation of all departmental program events, such Orientation Week, Induction ceremony and graduation as needed.
  • Provides feedback into policies and procedures to ensure safe and smooth operations of all programs and activities on site
  • Liaises with Classroom Support Teams at other sites to improve processes, and continually works to increase program efficiency and client satisfaction
  • Performs site specific assignments as requested by the Site Operations Manager and/or MOT Curriculum Coordinator.
  • Performs other related duties as required.
