About The Position

Oversee daily office operations, ensuring efficiency in workflows and software utilization. Manage company correspondence, including emails, calls, and document organization. Maintain office systems, supplies, and technology, ensuring smooth integration with QuickBooks, Stack CT, Project Scheduling 10, and Journeyman software. Handle certified payroll processing, ensuring compliance with prevailing wage laws. Manage invoices, purchase orders, and payments for subcontractors and vendors. Work with accountants for bookkeeping and tax -related tasks using QuickBooks. Track project budgets, expenses, and financial reporting. Oversee compliance documentation for city, state, and federal regulations. Assist in bidding and estimating processes using Stack CT software. Track project schedules and milestones using Project Scheduling 10. Coordinate with field teams on daily logs and reporting via Journeyman software. Ensure permits, insurance, and licenses are current and accessible. Act as the primary liaison between the company and city officials for permits, inspections, and regulatory approvals. Maintain strong communication with clients, investors, and retail tenants involved in development projects. Coordinate with partnering companies, including minority -owned subcontractors, architects, and engineers, ensuring smooth collaboration. Assist in hiring, onboarding, and managing employee records. Ensure safety training and certifications are up to date. Organize team meetings, progress reviews, and site visit coordination. Managing office software, project management tools, and IT support needs Maintaining company databases, CRM systems, and cloud storage Ensuring effective communication between office and field staff Assisting with contracts, bid documents, and compliance paperwork Ensuring adherence to local, state, and federal regulations Handling confidential and sensitive company information
