About The Position

The purpose of this position is to assist Sacramento County Social Services with Christmas efforts. This role involves interviewing clients online and virtually, preparing necessary paperwork for families participating in the Christmas Program and other assistance programs (rent, utilities, food). The assistant will support the Supervisor with the Christmas Assistance Program at Family Services and Cal Expo, focusing on the Angel Tree program. Responsibilities include providing intakes, assessments, and financial assistance to low-income families and individuals, preparing client files, entering data, compiling records, and preparing reports. The role also requires maintaining records of interviews and assistance provided or denied, referring clients to community resources, and accessing/recording client and community resource information. Timely submission of all required paperwork and meeting deadlines are essential. The position involves making phone calls and sending follow-up emails to toy donors, answering inquiries about Angel Tree and toy drives, ordering Christmas supplies, and maintaining Angel Tree tags. Building donor relationships through phone and email, composing routine correspondence, and updating the Christmas operation tracking spreadsheet in Excel daily are also key duties. The assistant will organize and maintain various tracking spreadsheets and forms, prepare Angel Tree delivery bags, record and track toy barrel deliveries/pickups, and communicate with the Operations Manager. Distributing Angel Tree tags and paperwork, coordinating with Social Services using the Christmas registration database, and training at Social Services for application intakes and software are required. The role includes communicating with media sponsors, arranging tag delivery, and assigning pickup dates. Assisting with Angel Tree at malls and keeping the area neat, processing Angel Tree tags, and training volunteers on Angel Tree procedures are also part of the job. Transferring toys to storage and delivering Angel Tree tags/picking up donations from donors may be necessary. The Christmas Assistant must act as a role model, maintain a positive and respectful attitude, communicate regularly with their supervisor, report to work on time, and represent The Salvation Army in accordance with its mission. Professional presentation, including attire, is expected.

Requirements

  • High school diploma or general education degree (GED); or one to three months related experience and or training, or equivalent combination of education and experience.
  • Knowledge of computers preferred (word processing and database).
  • Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents.
  • Ability to respond to common inquiries or complaints from clients.
  • Ability to add, subtract, multiply, divide, calculate figures and amounts such as discounts, and interest.
  • Good organizational, verbal, and written communication skills.
  • Strong data entry skills a must. Accuracy and speed required.
  • Ability to perform daily duties to achieve expected outcomes and performance measures with minimal supervision.
  • Ability to effectively present information over the phone and in small group situations to donors, clients, and other employees of the organization.
  • Ability to process written, visual, and/or verbal information.
  • Ability to operate basic office equipment and tools PC, Fax Machine, Telephone, Calculator, Copier, Printer.
  • Must be proficient in Microsoft Word and Excel.
  • Must have excellent organizational skills.
  • Able to multi-task and demonstrate good use of time management.
  • Must speak and communicate professionally, clearly, and effectively through the phone.
  • Must possess a valid California Class C Driver License, and ability to drive a Salvation Army vehicle.
  • Must be 21 years or older.
  • Authorize The Salvation Army to add name to the CA DMV Pull Notice Program.
  • Complete The Salvation Army vehicle course training.

Responsibilities

  • Interview clients online and virtually and prepare all necessary paperwork for families to participate in the Christmas Program, and other types of assistance such as rent, utilities and food.
  • Assist Supervisor with Christmas Assistance Program at Family Services and Cal Expo, specifically with the Angel Tree program.
  • Provide intakes, assessment and financial assistance to low-income families and individuals.
  • Prepare client files, enter client data into tracking sheets, compile records and prepare reports.
  • Maintain records of all persons interviewed and records either the type of assistance given or the reason why assistance was denied.
  • Refer clients to community resources and other organizations as appropriate for the client's needs.
  • Access and record client and community resource information.
  • Complete and submit all required paperwork in a timely fashion as designated by the Supervisor. Meet deadlines and department productivity demands.
  • Make phone calls to past and potential toy donors and follow-up emails with donors.
  • Answer and assist any Angel Tree and toy drive inquiries and questions.
  • Order Christmas supplies and maintain Angel Tree tags.
  • Provide relationships with donors through phone and email.
  • Compose and type routine correspondence with donors.
  • Update Christmas operation tracking spreadsheet in an Excel document daily.
  • Organize and maintain Christmas operation tracking spreadsheet, toy drive and Angel Tree response forms, tracking of tag delivery and drop off sheet, and other related Christmas donor records.
  • Prepare Angel Tree delivery bags with appropriate assigned tags, handouts, posters, and numbered toy bags.
  • Record and track toy barrel deliveries and pickups while maintaining correspondence with Operations Manager.
  • Distribute Angel Tree tags and Angel Tree paperwork to appropriate personnel.
  • Coordinate with Social Services using the Christmas registration database and software.
  • Train at Social Services for Christmas application intakes and Christmas software.
  • Communicate with the media sponsors, arrange tag delivery, and assign a date of pick up for them.
  • Assist with Angel Tree at the malls and keep area neat and clean, as needed.
  • Process Angel Tree tags as directed.
  • Work well with, and train volunteers on the procedures of the Angel Tree program.
  • Transfer toys to the storage area as needed.
  • Deliver Angel Tree tags and pick up donations from donors when needed.
  • Act as role model within and outside the agency.
  • Maintain a positive respectful attitude.
  • Communicate regularly with supervisor about program issues.
  • Consistently report to work on time prepared to perform duties of position.
  • Represent the Salvation Army in the spirit of its mission to meet human needs.
  • Present yourself professionally, including attire.
