About The Position

Fundacja Polska z Natury is an NGO focused on environmental awareness and community-driven solutions, part of the international Our Common Home network. They believe in the synergy of economic development, environmental stewardship, and thriving local communities. As the organization experiences rapid growth, they are seeking an experienced Chief of Staff to aid in scaling the Foundation, enhance cross-functional collaboration, and support the achievement of strategic priorities. The Chief of Staff will act as a strategic partner to the CEO, ensuring effective coordination across the Foundation and supporting the leadership team in delivering key strategic priorities. This role will improve management processes by consolidating information, tracking decisions, identifying risks, and providing the CEO with insights for informed decision-making and execution. Collaborating closely with the CEO, COO, and leadership team, the Chief of Staff will foster organizational alignment, governance, and initiative implementation, ensuring effective collaboration throughout the Foundation.

Requirements

  • At least 7 years of experience in leadership, strategy, organizational development, consulting, executive management or Chief of Staff roles.
  • Experience working directly with executive leadership, CEOs or Boards.
  • Proven experience managing large-scale cross-functional processes or projects involving multiple stakeholders.
  • Experience designing organizational processes and leading organizational change.
  • Experience preparing executive presentations, reports and decision-making materials.
  • Experience working in a start-up or other fast-paced, high-growth environment.
  • Outstanding organizational and project management skills, with the ability to manage multiple initiatives simultaneously.
  • Strong analytical skills and the ability to translate complex information into clear recommendations.
  • Excellent communication and stakeholder management skills.
  • Ability to build trust and foster collaboration across diverse teams.
  • Ability to manage interpersonal dynamics and resolve conflict constructively.
  • High levels of discretion, ownership and accountability.
  • Fluency in both Polish and English (minimum C1).

Responsibilities

  • Support the CEO and COO in implementing organizational changes and strategic priorities.
  • Coordinate the delivery of strategic initiatives across multiple teams, tracking progress and identifying potential risks or implementation challenges.
  • Oversee the delivery of the annual organizational plan and track key organizational performance indicators.
  • Lead the Executive Office, including coordinating Council meetings, preparing governance materials, coordinating leadership meetings and following up on agreed actions and decisions.
  • Prepare executive briefings, analyses, reports and strategic recommendations for the CEO, Management Board and the Council.
  • Support the COO with governance processes, organizational planning and decision-making frameworks.
  • Strengthen collaboration across the Foundation and promote effective communication between the leadership team and Our Common Home.
  • Resolve cross-functional challenges and drive the consistent use of RACI across the organization to ensure clear roles, responsibilities and decision-making.
  • Coordinate the preparation of management reports and ensure the timely delivery of strategic information.
  • Identify organizational risks and recommend corrective actions to improve organizational effectiveness and execution.
