Chief of Staff

Solen Software GroupSalt Lake City, UT
Onsite

About The Position

As Chief of Staff, you work directly with the CEO on the things that don’t fit neatly into anyone else’s job: sitting in on portfolio CEO QBRs and flagging what the CEO needs to know, building the board deck, running HQ leadership meetings, and chasing down whatever’s blocking the CEO from making a call. Solen Operators run the businesses and M&A team members run diligence; you keep the wires connected between them, the CEO, and the rest of HQ. Expect to own a rolling list of 5-10 active strategic projects at any time. This is a coordinator, communicator, and force multiplier role. See into 17+ software companies across HR tech, fleet telematics, asset management, e-health, and document management — and influence how each one runs. Collaborate directly with a highly capable, entrepreneurial executive team. Sit at the center of the information flow: every board deck, every monthly report, every CEO 1:1 passes through your hands. Join a culture-first, Great Place to Work–certified organization that values impact and collaboration. The successful candidate will work from Solen’s office in Utah, USA / on-site.

Requirements

  • 10+ years of experience in management consulting, investment, corporate development, or operational leadership within high-growth software or M&A environments.
  • Has held a Chief of Staff, BizOps, or strategy role supporting a CEO or business unit leader or has run a similar coordination function from inside consulting or PE.
  • Can read a P&L and balance sheet without help, mark up a redline of an MSA or NDA at the comment-and-question level, and have a substantive conversation with a head of HR about comp bands or a head of Engineering about hiring plans.
  • Writes clearly under deadline. Can take a messy 90-minute discussion and turn it into a one-page memo the CEO can send the same evening.
  • High discretion, judgment, and ability to manage sensitive information.
  • Comfortable jumping between a financial model in the morning, a portfolio CEO call at noon, and an investor email at 6pm — without dropping any of them.
  • Familiarity with SaaS financial metrics (ARR, churn, LTV) and financial modeling.
  • Experience supporting or leading post-acquisition integrations.
  • Willingness to travel occasionally between Utah, New York, and other Solen offices (Toronto, Lisbon etc,).

Responsibilities

  • Run the CEO’s weekly priorities review: maintain the list of open decisions, chase down the inputs needed to resolve them, and follow up after to confirm what was decided actually got done.
  • Run HQ leadership meetings and monthly operating reviews: build the agenda, capture decisions and owners, and circulate the readout within 24 hours.
  • Stand in for the CEO in portfolio company meetings and external calls when calendars conflict, and turn the outcomes into a written summary the same day.
  • Sit between Finance, Ops, Talent, and Legal: when the CFO needs a call from a portfolio CEO, when a portfolio CEO needs sign-off on a hire, when Legal needs a contract reviewed, you make sure the handoff happens and nothing sits.
  • Read every portfolio company’s monthly report, flag the two or three things the CEO actually needs to look at, and follow up with the relevant portfolio CEO before the next monthly.
  • When one portfolio company solves a problem worth copying (a pricing change that worked, a churn intervention, a hiring approach), document it and walk the other CEOs through it.
  • Own the monthly portfolio dashboard: ARR, NRR, gross margin, cash, and headcount for every company. Reconcile numbers with each portfolio CFO when they don’t tie.
  • Sit in on each portfolio company’s QBR and operating reviews. Write a one-page readout for the CEO afterwards covering what changed since last quarter, what the portfolio CEO is worried about, and what (if anything) needs HQ attention.
  • Draft the quarterly board deck
  • Be the first call for portfolio CEOs when they need something from HQ — a budget approval, an intro, a second opinion — and route it to the right person within 24 hours.
  • Run a quarterly look at HQ processes that slow things down (a slow approval, a duplicated report, a meeting nobody needs) and fix or kill them.
  • Promote Solen’s cultural values of simplicity, collaboration, and long-term thinking.
