We exist to give exceptional leaders back their most valuable resource: time. That requires more than checking boxes. It requires judgment, discretion, ownership, extreme attention to detail, and the ability to execute consistently in environments where the pace is high and the expectations are higher. If you need someone to tell you exactly what to do next, this probably isn’t the role for you. Squared Away maintains a rolling application for our Executive Assistant position. This application is for opportunities anticipated during Q4 2026, (October through December). A Note About Our 2027 Transition: Squared Away is transitioning its Chief Executive Assistant team to W-2 employment beginning January 1, 2027. Candidates who join Squared Away during Q4 will initially onboard as 1099 independent contractors for the remainder of 2026. Effective January 1, 2027, they will transition to W-2 employment with Squared Away, along with the rest of our Chief Executive Assistant team. Compensation, availability expectations, and other employment terms change with the transition to W-2 employment. Both the Q4 contractor terms and 2027 W-2 terms are outlined below so candidates can understand the full opportunity before applying. We are looking for candidates who are interested in building a longer-term career with Squared Away and are prepared to transition to the W-2 position in January.

Local hiring restrictions apply in the following areas: California: We are not currently hiring individuals whose primary work location is within Berkeley, Emeryville, Los Angeles, Oakland, San Francisco, Santa Monica, or West Hollywood. Illinois: We are not currently hiring individuals whose primary work location is within Chicago or Cook County. Maryland: We are not currently hiring individuals whose primary work location is within Montgomery County. Pennsylvania: We are not currently hiring individuals whose primary work location is within Pittsburgh. Must be available during normal business hours Monday–Friday, 9 AM–5 PM (in your time zone) for regular client communication
This role cannot be combined with another job that limits availability during these hours
Ability to commit a minimum of 50 hours per month, with flexibility to take on additional hours
Administrative experience supporting senior leaders is required; experience supporting executive-level roles is strongly preferred.
Experience working remotely is strongly preferred
Reliable home office setup, including: Mac or PC computer with webcam, High-speed internet, Smartphone with email capabilities, A designated, quiet workspace suitable for professional work
Strong written and verbal communication skills, able to clearly and concisely communicate in a variety of contexts
Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook, with familiarity using project management tools
Experience managing schedules, communication, and priorities across time zones
Understanding of cross-cultural communication in a global working environment
Exceptional organization and attention to detail
High emotional intelligence and situational awareness
Comfortable working independently without constant direction
Tech-savvy and quick to learn new systems and tools
Proactive mindset that anticipates needs rather than reacts

Nice To Haves

This is not an entry-level role, and it is absolutely not a side gig.
As a Chief Executive Assistant at Squared Away, you will work alongside senior executives who move quickly, manage significant responsibility, and expect the person beside them to think ahead, communicate clearly, and execute without needing constant direction.
You will manage competing priorities, anticipate needs before they become urgent, protect your executive’s time, and take ownership of outcomes at a level that mirrors exceptional in-house executive support.
We are looking for experienced professionals who know how to operate in ambiguity, solve problems without waiting to be rescued, exercise strong judgment, and build trusted relationships with high-performing leaders.
You should be comfortable making decisions, asking smart questions, following through relentlessly, and owning your work from start to finish.
This role is for someone who does not just want to support an executive. It is for someone who wants to become indispensable to one.
