About The Position

Under the general direction of the Nurse Care Manager, this role involves managing referrals, scheduling appointments, filing, data abstraction, and maintaining files. The Certified Medical Assistant will assist nursing staff with patient care as needed, communicate with physicians and team members about patient conditions, and perform various administrative and clinical duties. This position requires maintaining accurate patient records, ensuring confidentiality, and participating in population management initiatives to improve patient outcomes.

Requirements

  • High school diploma or general education degree (GED) required.
  • Completion of an accredited Medical Assistant Course required.
  • Minimum one (1) year related experience and/or training; or equivalent combination of education and experience.
  • Current certification from the Certifying Board of the American Association of Medical Assistants (AAMA), the National Center for Competency Testing (NCCT), or registration from the American Medical Technologists (AMT), or any other recognized certifying body approved by the National Board of Medical Examiner.
  • Current certification in Basic Life Support.
  • Ability to read and comprehend instructions, correspondence, and memos.
  • Ability to write correspondence and effectively present information in one-on-one and small group situations.
  • Computer literacy.
  • Skill in the application of modern office techniques and practices and the use and care of office machines and equipment.
  • Working knowledge of common software packages necessary to perform the functions of the position.
  • Ability to review and abstract data from patient records.
  • Ability to work well with others and to assist the public cooperatively and courteously.

  • Actively participates in performance improvement and continuous quality improvement (CQI) activities.
  • Complies with all organizational policies regarding ethical business practices.
  • Communicates the mission, visions and goals of the facility, as well as the focus statement of the department.
  • Manual dexterity sufficient to operate phones, computers, and other office equipment.
  • Physical ability to kneel, bend, and perform light lifting.
  • Ability to write and speak clearly using the English language.
  • Ability to hear at normal speaking levels both in person and over the telephone.
  • Specific vision abilities required include close vision, depth perception, and the ability to adjust focus.

Nice To Haves

  • Bilingual (English/Spanish) preferred.
  • Ambulatory Surgery Technician Certification is required for employees who sterilize surgical and medical instruments. The employees who are required to sterilize instruments must pass the Certification Board for Sterile Processing and Distribution, INC. (CBSPD), Ambulatory Surgery Technician Exam within 6 months of hire.

Responsibilities

  • Completes patient referral documents and pre-certifications within established time frames.
  • Follows referral guidelines and provides appropriate clinical information to specialists.
  • Assists team and clinical staff with ancillary testing, point-of-care testing, and other assigned clinical duties.
  • Maintains accurate and complete documentation in paper and electronic medical records, ensuring confidentiality.
  • Obtains necessary signatures, reports, and other items to complete medical records.
  • Brings unusual, inaccurate, or interesting material to the attention of the Nurse Care Manager.
  • Assists in maintaining and utilizing health record indexes, storage, recall, and retrieval systems, including automated data processing systems.
  • Inputs data into various computer programs, including the electronic medical record, and scans lab reports and other documents.
  • Assists in the maintenance of essential medical records and files.
  • Receives callers, determines their reasons for visiting, provides information, and ensures desired objectives are achieved within the scope of medical assistance.
  • Exhibits professional conduct with patients and fellow employees.
  • Demonstrates team collaboration to facilitate a positive work environment.
  • Receives, sorts, and distributes incoming correspondence.
  • Notifies patients to bring appropriate documents for registration and verifies insurance eligibility when scheduling appointments.
  • Adheres to scheduling rules for appointments, confirmation calls, and follow-up for no-shows.
  • Participates in population management in collaboration with clinical and care teams using various tools and templates.
  • Performs varied clerical duties and adheres to daily chart checklists for patient chart preparation.
  • Responsible for the maintenance of assigned log books and buckets.
  • Prepares and assists with departmental projects, form completions, and reports.
  • Greets all patients/clients/customers professionally via telephone or in person.
  • Assumes other duties as assigned by the Unit Manager/Supervisor.
  • Demonstrates flexibility and cooperation in staffing needs by rotating and assisting various departments and satellites as able.
  • Demonstrates consistent effort to maintain sound working relationships with subordinates, peers, and superiors.
  • Assists in the preparation and maintenance of patient rooms, sterile instruments, equipment, and supplies.
  • Performs inventory of supplies and equipment.
  • Performs work-related duties in a safe manner utilizing sound work practices, including universal precautions and personal protective equipment.
  • Seeks guidance and validation from appropriate clinical/management resources when necessary.
  • Consistently utilizes appropriate lines of authority.
  • Wears a clearly visible identification badge.
  • Administers subcutaneous and intramuscular injections under the direction of a physician.
  • Participates in vaccine boot camp and vaccinations as required within the scope of practice.
  • Assists staff with Spanish interpretation if bilingual.
  • Attends job-related training as mandated.
  • Performs other duties and assumes other responsibilities as assigned by the Nurse Care Manager.
