About The Position

The Certified Medical Assistant (CMA) role involves implementing approved protocols and workflows, providing age-appropriate nursing care, and accurately documenting patient services in the electronic medical record. Responsibilities include preparing patients for exams, assisting with referrals for specialty care, imaging, and laboratory studies, and managing medication-related tasks such as reconciliation, education, prior authorizations, and refills. The CMA is expected to respond to patient communications within 24-48 business hours, administer and document medications and vaccines (potentially across multiple systems), and maintain inventory of supplies and medications. The role requires compliance with AAMA regulations, HIPAA, OSHA, Compliance, and IT standards. Additionally, the CMA will support Quality Initiatives through data collection and compliance, and may perform job-specific tasks varying by provider specialty. Travel between offices may be required, and other duties may be assigned by administration and/or providers.

Requirements

  • Certified Medical Assistant (CMA) certification.
  • Accurate documentation skills.
  • Knowledge of patient electronic medical records.
  • Ability to prep patients for exams.
  • Experience with referral facilitation (specialty care, imaging, laboratory studies).
  • Proficiency in medication reconciliation, education, prior authorizations, and refills.
  • Ability to administer and document medications and vaccines.
  • Inventory management skills for supplies and medications.
  • Understanding of AAMA regulations.
  • Knowledge of HIPAA, OSHA, Compliance, and IT standards.
  • Familiarity with Quality Initiatives (ACO, Meaningful Use, PCMH, PQRS).
  • Willingness to travel between offices if needed.

Responsibilities

  • Implements, applies, and follows approved protocols and standing orders.
  • Follows and applies all approved workflows.
  • Provide age-appropriate nursing care.
  • Document accurately in the patient’s electronic medical record all services rendered consistent with Boice-Willis Clinic’s policies and procedures.
  • Prep patient for any exams that will take place during appointment.
  • Assist with referral facilitation including for specialty care, imaging, or laboratory studies.
  • Fulfill all medication reconciliation, education, prior authorizations, and refills as needed.
  • Reply 24 – 48 business hours to all patient calls or web encounters to include communications regarding results, new medication instructions, etc.
  • Administers and documents the administration of medications, vaccines, and therapeutic injections - documentation in multiple systems may be required.
  • Maintains supply, medication, and sample inventories per Boice-Willis Clinic policies.
  • Comply with all limits and requirements of position within the AAMA regulations.
  • Comply with all HIPAA, OSHA, Compliance, and IT standards and policies.
  • Supports Quality Initiatives (ACO, Meaningful Use, PCMH, and PQRS) by data collection and compliance of respected programs.
  • Job specific tasks for each area within the Clinic will vary according to specialty of provider.
  • Travel between offices may be needed if warranted.
  • Other duties as assigned by administration and/or providers.
