About The Position

This role focuses on providing medical and clinical support services to patients in a neurosurgery setting. The position involves preparing patient rooms, escorting patients, taking vital signs, documenting patient information, and assisting physicians with procedures. It also includes educating patients on specimen collection and performing clerical or administrative duties to support clinical operations. This is a specialist-level role requiring advanced knowledge of operational procedures and tools, gained through vocational education, training, and extensive work experience. The role operates under limited supervision for non-routine situations and may involve leading daily operations, training, delegating, and reviewing the work of entry-level employees.

Requirements

  • High school diploma or equivalent.
  • Obtain Medical Assistant National Certification Attestation issued by a governing body (AAMA, AMCA, AMT, NCCT, or NHA).
  • Basic Life Support (BLS) Certification OR Obtain within three (3) months.
  • 2-3 years of Medical Assistant experience.

  • Knowledge of EPIC.

Responsibilities

  • Controls and monitors patient flow to maximize efficient use of providers and exam rooms, communicating delays and making adjustments in room utilization and assignment based on variations in patient volume, provider availability, and resources.
  • Prepares medical records for patient visits, confirming accuracy with patient identifiers, and entering chief complaint and social history, which may involve interviewing the patient.
  • Provides a safe, comfortable, and clean environment for patients and families.
  • Escorts patients to exam rooms and prepares them for provider visits, ensuring patient comfort, privacy, and safety.
  • Ensures patient and personal safety, including completing fall risk assessments and potentially monitoring patients.
  • Prepares exam rooms for each patient according to the needs of the visit.
  • Assists and/or chaperones providers/nursing with physical exams, treatments, and procedures as necessary.
  • Performs and records vital signs (blood pressure, pulse, temperature, oxygen saturation, height and weight), records patient’s stated level of pain, and reviews the list of medications with the patient.
  • Performs collection of specimens and/or ensures the necessary supplies and equipment are ready for the provider.
  • Performs Point of Care Testing (POC) as ordered, including but not limited to Urine dips, HCG testing, Strep A, HGB A1C, and glucose testing.
  • Performs quality control checks on equipment.
  • Assists in arranging for diagnostic testing and surgical procedures under the direction of the nurse or physician.
  • Assists with patient billing by ensuring CPT codes, diagnosis codes, and all supplies and procedures are indicated on charting.
  • Ensures outside paperwork is scanned into the patient’s electronic medical record.
  • Processes and tracks referrals and prior authorizations as requested/ordered by the provider, and notifies the provider of patient requests for referrals and prescription renewals.
  • Stocks, maintains, and rotates medical supplies in clinic rooms daily, monitors expiration dates, and monitors medical supply inventory for the clinic, ordering supplies as needed.
  • Participates in unit-specific quality improvement projects (e.g., hand washing audits, time-outs, refrigerator/medication logs, daily/monthly code cart checks).
  • Provides administrative support, which may include coordinating interpreter services, answering telephone calls, taking accurate messages, forwarding messages, and faxing.
  • May administer immunizations as needed.
  • Trains and orients new medical assistants and precepts students.
  • May perform hand hygiene audits.
  • Facilitates daily operations and responsibilities of the day-to-day patient flow, acting as the first level “go-to person” for providers and clinical staff regarding troubleshooting issues, including patient complaints and clinical and billing questions.
  • Collects and reports on ambulatory quality metrics.
  • May participate in ambulatory tracers.
  • Participates in the interviewing and training of clinical staff as requested by the Practice Manager.
  • Cleans and sterilizes instruments and maintains diagnostic equipment.
  • Reports updates and findings regularly to the Practice Manager.
  • May be asked to cover satellite locations.
