About The Position

This role is responsible for scheduling surgeries, coordinating necessary equipment, and arranging pre-anesthesia testing and post-operative appointments. The position ensures all necessary documentation, such as surgical consent forms, is in place. It involves obtaining prior authorizations for procedures, providing patient education on pre and post-operative care, and assigning appropriate CPT codes. The role also requires communication with various hospital departments, obtaining medical and cardiology clearances, and instructing patients on medication management before surgery. Additionally, the position involves maintaining patient reminder lists, assisting physicians with in-office procedures, instrument sterilization, and requesting medical records. Completing FMLA/Leave of Absence paperwork and adhering to all applicable laws and hospital policies are also key responsibilities. The role supports the Mission and Values of JMH and performs other duties as assigned.

Requirements

  • Certification in Medical Assisting
  • Three years of experience working in a physician practice in a clerical or clinical role; OR High school diploma or equivalent and five years of experience working as a Medical Assistant.
  • At least one year of experience in a surgical practice setting required.
  • Current CMA (AAMA), RMA, NCMA or CCMA certification required.
  • Current BLS or CPR for Healthcare Providers certification required.

Responsibilities

  • Schedules surgeries and coordinates surgical equipment with the Surgery Department.
  • Arranges pre-anesthesia testing and post-operative appointments for patients.
  • Ensures signed consent for surgical procedures is on file.
  • Reschedules surgeries if issues arise during pre-anesthesia testing.
  • Performs pre-determination for high-tech surgical procedures.
  • Provides detailed pre and post-operative education and instructions to patients and their families.
  • Assigns proper CPT codes for surgical procedures and communicates this information to relevant staff.
  • Obtains prior authorization for procedures and assists with retro prior authorizations.
  • Provides written and verbal communication to multiple JMH departments for care coordination.
  • Obtains medical clearance from primary care providers and arranges appointments for such clearance.
  • Obtains cardiology clearance or schedules cardiology appointments if needed.
  • Gives clear instructions to patients regarding medication holds before surgery and documents this.
  • Maintains and reviews patient reminder lists, contacting patients to schedule follow-up procedures.
  • Checks the multi-patient task list daily for clinical tasks.
  • Assists physicians in the exam room with exams, dressing changes, suture/staple and drain removals, and minor surgical procedures.
  • Cleans, sterilizes, and prepares instruments for procedures.
  • Maintains cleanliness of the Autoclave and performs monthly testing.
  • Requests medical records from outside entities.
  • Completes Family Medical Leave Act/Leave of Absence, Short-Term Disability, and Long-Term Disability paperwork.
  • Communicates and supports the Mission and Values of JMH.
  • Conducts all activities in compliance with applicable laws, regulations, standards, and hospital policies.
  • Performs other related duties as assigned by the Practice Administrator.
