About The Position

This role combines the responsibilities of a Certified Medical Assistant (CMA) and a Business Associate (BA) within a Pediatric Gastroenterology practice. The CMA performs direct clinical activities such as patient intake, blood draws, pharmacy calls, EKGs, and other physician-ordered tests, ensuring accurate EMR documentation. The BA handles front desk operations including patient greeting, registration, insurance verification, payment collection, managing the daily schedule, answering calls, and coordinating with clinical staff for patient flow. Both roles require a courteous, caring, and respectful approach to patient interaction and collaboration with practice staff.

Requirements

  • High school diploma or equivalent.
  • Completion of a formal Medical Assistant program recognized by the State of New Jersey.
  • Current and valid certification as a certified medical assistant or registered medical assistant recognized by the Board of Examiners (e.g., AMT, AAMA, NCCT).
  • Completion of formal coursework in office management, database management, or business.
  • Six (6) months of previous customer service/data entry, administrative/office management/clerical experience.
  • Ability to use effective organizational and time management skills.
  • Strong communication skills (oral, written, presentation).
  • Ability to create, maintain, and support a high-functioning team.
  • Ability to represent the organization positively.
  • Ability to respect confidentiality of private healthcare, financial, and company information.
  • Ability to honor commitments.
  • Ability to support company-wide efforts to improve patient/customer satisfaction.

Nice To Haves

  • Previous MA experience in a clinic, physician's office, or outpatient setting.
  • BCLS certification preferred upon hire.
  • Understanding of the operations of a medical practice.
  • Strong orientation towards high quality, cost-effective, and comprehensive medical care.
  • Ability to listen and respond in a non-judgmental manner.

Responsibilities

  • Perform direct clinical activities including patient intake, blood draw, pharmacy calls, EKG, and other physician-ordered tests.
  • Accurately document patient information in an EMR system.
  • Maintain close working relationships with all practice staff to ensure proper workflow, care, and treatment.
  • Greet patients, register them, ensure insurance compliance, and collect payments at time of service.
  • Maintain the daily patient schedule and answer incoming calls for appointments, medication refills, or inquiries.
  • Coordinate with clinical staff on special needs or requirements and ensure proper patient flow.
  • Support the practice and professional staff as directed by the Practice Manager.
