EAGLE is seeking a Certification Support Specialist to provide administrative and operational support to our Client Services Department. This position plays an important role in supporting the certification process through accurate database management, documentation preparation, client and auditor coordination, and administrative support. Requirements

  • Basic understanding of business accounting as it relates to auditor expenses and customer invoices.
  • Ability and willingness to learn documented auditor competency, certification, regulatory, and compliance requirements.

  • Proficiency with Microsoft Office Suite and the ability to quickly learn new software and database systems.

Nice To Haves

  • Familiarity or experience with food safety certification programs (including SQF and FSSC 22000), ISO standards, or similar management systems is beneficial but not required.

Responsibilities

  • Organize, maintain, and accurately enter client, audit, and certification information within the EAGLE Management System, ensuring records are complete, current, and consistent.
  • Create, prepare, and maintain audit documentation, templates, reports, and other materials required throughout the certification process.
  • Provide administrative support throughout the client certification lifecycle, helping ensure required documentation, activities, and deadlines are completed accurately and on time.
  • Review client and audit records for completeness and accuracy, identifying missing information or discrepancies and coordinating appropriate follow-up.
  • Confirm and maintain a clear understanding of customer requirements, including audit dates, documentation needs, certification requirements, and assigned tasks within the management system.
  • Coordinate with clients, auditors, and internal team members to obtain required information, resolve administrative questions, and support timely completion of certification activities.
  • Prepare and distribute accurate audit paperwork and supporting documentation to auditors and clients in accordance with established procedures and timelines.
  • Track assigned tasks, documentation requirements, and deadlines, proactively following up with appropriate parties to prevent delays in the audit and certification process.
  • Maintain working knowledge of applicable ISO (International Organization for Standardization), food safety, regulatory, accreditation, and certification program requirements relevant to assigned responsibilities.
  • Follow established procedures and quality requirements to help maintain the accuracy, consistency, and integrity of certification records and documentation.
  • Support Operations with the administrative management of audit costs, including auditor expenses, documentation, and information necessary to support accurate customer invoicing.
  • Assist with auditor qualification and competency documentation by maintaining required records and supporting the tracking of training and competency requirements.
  • Respond to client and auditor inquiries professionally and promptly, providing accurate information or coordinating with the appropriate EAGLE team member when additional expertise is required.
