About The Position

ACC Management Group manages affordable and market-rate communities across Wisconsin & Illinois and is adding a full-time Certification Specialist. This role will assist the Community Manager and team with the day-to-day operations of the property, including various administrative duties and housing compliance tasks for a large property in Madison, WI. The specialist will work closely with the Community Manager and Compliance Specialist to ensure all deadlines, goals, and expectations are met.

Requirements

  • 2+ years in affordable housing compliance (Section 42/LIHTC (preferred), Section 8, or RD).
  • Proficiency with computer software applications including OneSite, MS Outlook, Word, and Excel.
  • Sharp communication skills.
  • Ability to work independently and manage a busy certification season.
  • Valid driver's license and acceptable driving record.
  • High School diploma or equivalent required.
  • Minimum of 2 years of affordable compliance experience required.
  • Ability to prioritize and possess efficient time management skills.
  • Demonstrates excellent verbal and written communication skills.
  • Goal-oriented, team player.
  • Exhibits a high degree of professionalism and respect through appearance and interactions with others.
  • Ability to lift to 25 pounds unassisted and as needed.

Nice To Haves

  • COS or HCCP certifications are a plus; the company will assist in earning them.
  • Flexibility with working hours during heavy certification and deadline periods.

Responsibilities

  • Process certifications and recertifications for Section 42/LIHTC, ensuring verifications are complete and files are accurate.
  • Collaborate with Community Managers and the Compliance Specialist to meet all deadlines.
  • Determine applicant eligibility and maintain communication with applicants.
  • Conduct on-site file audits to ensure readiness for state and local agency reviews.
  • Handle investor file requests, including uploading, correcting, and summarizing documents.
  • Coordinate move-in and move-out lease paperwork.
  • Maintain resident files in compliance with Fair Housing law.
  • Assist residents and prospects with questions, tours, and applications.
  • Adhere to ACC Management Group guidelines, federal and state qualification guidelines, resident selection criteria, and applicable government compliance programs.
  • Provide administrative support, including phone support, typing reports, filing, copying, faxing, and correspondence distribution.
  • Process all paperwork for new applicants in accordance with company policies and Fair Housing requirements.
  • Ensure proper document labeling, uploading, organization, and completion of documents and filing.
  • Respond to investor requests for files, including uploading and making necessary corrections.
  • Communicate property features and amenities to prospects.
  • Answer questions from prospects and potential applicants in a timely manner.
  • Respond to and follow up with interested applicants regarding their eligibility status.
  • Maintain all resident files and confidential information in a secured area in compliance with company policies and Fair Housing law.
  • Greet walk-in traffic and address their needs, questions, or complaints.
  • Ensure interested prospects complete applications.
  • Process all applications for eligibility status.
  • Coordinate and process lease paperwork for move-ins and move-outs.
  • Maintain strong resident relations while enforcing company and community policies.
  • Assist the Community Manager in resident relations.
  • Record and document resident correspondence.
  • Maintain an up-to-date understanding of assigned property descriptions and classifications.
  • Maintain current working knowledge of and adhere to Fair Housing laws, policies, and practices.
  • Perform other duties as assigned.
