About The Position

The Department of Speech & Hearing Sciences has an outstanding opportunity for a Certificate & Outreach Coordinator to join their team. Reporting to the Director of Student Services, the Certificate and Outreach Coordinator is responsible for the success and engagement of certificate students by serving as a primary resource for basic advising, academic support, and student communications. The position also manages program coordination including key administrative processes, maintains compliance and student records, and collaborates across the team to ensure a seamless student experience from onboarding through program completion. In addition, the role advances program and department growth and visibility through outreach, recruitment, and prospective student engagement. The salary information provided below is for a full-time position and will be prorated for this part-time, 50% FTE opportunity.

Requirements

  • Bachelor’s Degree
  • 2 years experience supporting academic programs in higher education.

Nice To Haves

  • Background in health sciences, clinical programs, and/or a strong interest in working with students pursuing clinically-oriented careers.
  • Familiarity with fee-based programs and students, including interfacing with UWCC.

Responsibilities

  • Maintain all certificate student-related information and records in accordance with FERPA, University, and American Speech-Language-Hearing Association (ASHA) standards and requirements. This includes but is not limited to registration tracking, grade audits, and statistical reporting.
  • Communicate proactively with the Program Director in the event of deviations from expectations.
  • Support enrollment coaches and student support specialists at UW Continuum College (UWCC) with questions, student onboarding, etc.
  • Assist students who require external documentation for funding, scholarships, employment, etc.
  • Support regular information sessions on topics that will help support the success of students.
  • Create quarterly Time Schedule Construction grid and coordinate with counterparts in UWCC for processing.
  • Administer and analyze a variety of student surveys, sharing results with department leadership.
  • Maintain Certificate Program central information resources (HUB) in Canvas.
  • Collaborate closely with faculty and student services director about site changes and student messaging.
  • Manage access for currently enrolled certificate students.
  • Maintain up-to-date resources to support current certificate students with successful completion of the program.
  • Advise and serve as the primary liaison to current certificate students with questions and issues related to policies, requirements, and graduate school preparation.
  • Monitor, triage and respond to inquiries via email, Canvas, EdDiscussion, and Zoom.
  • Counsel certificate students experiencing academic difficulties regarding options and resources.
  • Support a regular schedule of information sessions for the certificate and other programs.
  • Serve as the primary contact between the department and campus recruitment efforts.
  • Develop a target list of and participate in external student recruitment events as department representative.
  • Develop & maintain informational materials for all programs (in coordination with UWCC for fee-based offerings).
  • Triage inquiries from prospective students & respond when appropriate.
  • Serve as a support for web or social media endeavors and updates.
  • Serve as back-up to other advising team members and oversee work-study students as needed.
  • Other duties as assigned.
