About The Position

Lexington Regional Health Center is seeking a full-time Centralized Scheduler for the Outpatient Clinic department. This role is responsible for accurately scheduling appointments, verifying insurance, completing pre-registrations, and coordinating multiple appointments for various departments including radiology, surgery, ancillary, respiratory therapy, and others as assigned. The position requires excellent customer service skills, the ability to maintain confidentiality, and effective communication with patients, care providers, and insurance companies. The scheduler will also be responsible for ensuring provider orders are in the Electronic Health Record, responding to patient inquiries, and adhering to infection control and safety guidelines.

Requirements

  • Ability to read, write and use basic computer and office equipment skills as is typically acquired through the completion of a high school diploma or equivalent.
  • Ability to maintain strict confidentiality with regard to protected and sensitive information.
  • Ability to complete reports and correspondence at a professional level.
  • Ability to immediately respond to common inquiries and complaints from patients, employees, and regulatory agencies.
  • Advanced communication skills to respond to inquiries from Insurance companies and Workman Compensation companies.
  • Ability to effectively communicate with individuals from diverse backgrounds.
  • Ability to read, write and use basic computer and office equipment skills.
  • Successful completion of required knowledge and training of standard precaution and transmission protocols and when to apply during principle duties and responsibilities.

Responsibilities

  • Schedule appointments accurately and complete pre-registration, including insurance verification for procedures in radiology, surgery, ancillary, respiratory therapy, and other assigned departments.
  • Coordinate multiple appointments.
  • Demonstrate positive customer service when greeting patients, care providers, and others.
  • Complete precertification or check pre-certification authorization, including medical necessity check procedures for radiology, surgery, ancillary, outpatient clinic, and family medicine specialists.
  • Provide patient/family service instructions prior to appointments as directed by the service department.
  • Verify insurance eligibility for services and ensure payment by verifying benefits with the patient's insurance, or directing self-pay patients to the LRHC Financial Assistant representative.
  • Update registration when patient information changes.
  • Ensure provider orders are in the Electronic Health Record.
  • Check voicemail and pools and respond to calls within a timely manner.
  • Receive physician orders for all scheduled Outpatient procedures and import the order into the patient’s pre-registered electronic medical record.
  • Contact "No Shows" on a weekly basis to reschedule their procedures.
  • Communicate scheduling concerns or problems to the Centralized Scheduling Lead.
  • Maintain departmental policies and procedures manuals.
  • Notify the appropriate leader, clinic, or provider if Service Recovery is needed to resolve a customer complaint/concern.
  • Participate in patient care activities that could include blood exposure and risk to bloodborne pathogens (e.g., lacerations, handling of blood-contaminated specimens, etc.).
  • Be responsible for ensuring the environment meets appropriate governing body standards.
  • Ensure patients and visitors follow current infection control guidelines.
  • Maintain patient and staff safety through the use of patient safety tools (TeamSTEPPS, Just Culture, etc.).
  • Serve on various committees as assigned.
  • Regular attendance at the assigned work location is required.
  • Perform all other duties as assigned.
