About The Position

The Central Supply Clerk is responsible for ordering, receiving, storing, dispensing, and accounting for nursing supplies. This role involves maintaining inventory levels, preparing purchase orders, stocking nursing units, and ensuring the cleanliness and organization of supply areas. The position also includes ordering oxygen and over-the-counter drugs, preparing charge sheets, and allocating costs. Additionally, the clerk may be required to perform sterilization of equipment, provide inventory reports, and assist with resident care duties if qualified as a Certified Nursing Assistant. The role requires adherence to safety and infection control policies, attendance at in-service education and staff meetings, and maintaining positive public relations.

Requirements

  • High School graduate or equivalent
  • Experience as a Central Supply Clerk in a long term care facility preferred
  • Ability to type, calculate and perform data entry skills
  • Knowledge of medical terminology, function and application of nursing supplies and equipment
  • Must be able to read, analyze, and interpret common scientific and technical information, and to be easily understood through verbal communication in the English language.
  • Must be able to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to perform these operations using units of weight measurement, and volume.
  • Must have exceptional communication and customer service skills, and be empathetic.
  • Ability to effectively communicate with patients, families, responsible parties, staff and outside resources and agencies.
  • Must be able to see and hear or use prosthetics that will enable these senses to function adequately to ensure that the requirements of this position can be fully met.
  • Must meet the general health requirements set forth by the policies of this facility which includes an annual TB screening and physical examination.
  • Must be able to sit, stand and walk.
  • Must be able to lift and carry up to 50 pounds; infrequent lifting of up to 75 pounds.
  • Continuous bending, squatting, twisting and reaching.
  • Must be able to bend, squat, push, stoop and pull.
  • Must be able to cope with the mental and emotional stress of the position.

Responsibilities

  • Maintain a current inventory of all central supply items and over-the-counter drugs.
  • Establish minimum and maximum levels of inventory.
  • Prepare purchase order forms for nursing supplies and/or equipment for Administrator’s approval.
  • Order required nursing supplies on a timely scheduled basis from approved vendors to maintain adequate inventory levels.
  • Reconcile supplies/equipment received and charges with invoices.
  • Establish and maintain an organized nursing supply area on each unit that meets the current needs for resident care, in accordance with county, state and federal laws and regulations, as applicable.
  • Stock nursing units with essential supplies and over-the-counter drugs on a routine basis which includes rotation of supplies and removal of unnecessary supplies.
  • Maintain central supply storage area clean, organized and secured.
  • Obtain special items or equipment as directed.
  • Insure marking of facility equipment for identification.
  • Mark resident’s equipment and/or appliances for identification as directed.
  • Order oxygen, oxygen supplies and equipment and maintain accurate inventory and usage control.
  • Routinely check and correctly maintain storage areas for oxygen and emergency supplies.
  • Order required over-the-counter drugs on a timely scheduled basis in coordination with and approval from the Director of Nursing.
  • Prepare accurate resident charge sheets when discharged or monthly according to schedule.
  • Allocate cost of supplies used to appropriate source.
  • Maintain purchasing costs within budget.
  • Report defective equipment to maintenance department or appropriate vendor to effect timely repair or replacement.
  • Accept assignment of resident care duties when required, if possesses qualifications of a Certified Nursing Assistant.
  • Perform sterilization of equipment if applicable.
  • Provide Administrator with inventory of facility equipment and supplies as directed.
  • Practice safety policies and procedures of the facility.
  • Practice infection control policies and procedures of the facility.
  • Attend in-service education and staff meetings as required.
  • Be courteous, considerate and cooperative when communicating with all facility staff, residents and public.
  • Promote and maintain good public relations on behalf of the facility.
  • Demonstrate knowledge of, and respect for, the rights, dignity and individuality of each resident in all interactions.
