About The Position

The Central Supply Associate's primary function is to receive, store, and issue materials, equipment, and other items for the facility. This role involves maintaining accurate supply records, compiling reports on stock, and preparing purchase orders. The position also includes creating schedules for the nursing department and potentially participating in staff interviews and supervising staff reporting to the Central Supply position. The successful candidate will have a poised, professional demeanor, a positive attitude, and the ability to take initiative and adapt to changing workplace needs. They must also understand and enforce infection control and safety policies, safeguard resident privacy, and be proficient with computers.

Requirements

  • Certificate as a Medical Assistant in the State of Kansas.
  • Listed as a Nurse Aide and Medical Assistant in the Kansas Department of Health and Environment Registry.
  • Ability to understand, observe, and enforce infection control procedures.
  • Ability to observe all facility safety policies and procedures.
  • Ability to understand and recognize potential physical, chemical, and electrical hazards and take immediate corrective action.
  • Ability to understand and enforce the Exposure Control Plan.
  • Ability to safeguard the privacy of Residents’ health information.
  • Ability to speak and read English, and follow oral and written directions.
  • Ability to establish and maintain effective working relationships with the public, residents, and staff.
  • Ability to use computers proficiently, including the designated facility computer system.
  • Ability to sit, stand, bend, stoop, stretch, crawl, crouch, kneel, balance, finger, grasp, push, pull, reach, or walk.
  • Ability to lift objects from a lower to higher position or moving objects along a horizontal level but from position to position.
  • Ability to lift and carry weights in the 35 to 50 pound range.
  • Ability to exert force upon an object in order to draw, drag or tug objects toward the source of the force in a sustained motion.
  • Must attend staff meetings, in-service classes, and committee meetings as assigned or required.

Responsibilities

  • Maintain accurate supply orders and organized records of received supplies, verifying them against purchase orders.
  • Determine inventory sufficiency and order more materials as needed, collecting data on supply needs from nursing units.
  • Compare prices, specifications, and delivery dates to select the best materials and equipment.
  • Receive, review, and get requisitions approved before placing orders.
  • Identify the type and amount of each item to be stocked.
  • Maintain supplies in a neat, clean, and organized manner, following proper storage instructions.
  • Send invoices to the business office for payment.
  • Provide the business office with accurate charges for supplies used by individual residents, understanding and following the facility resident charging system.
  • Handle Clock Tracker billing.
  • Provide accurate reports to administration on the type and amount of supplies received.
  • Contact suppliers to schedule or expedite deliveries and resolve issues with deliveries.
  • Report any problems with obtaining or ordering supplies promptly.
  • Comply with federal, state, and company policies, procedures, and regulations.
  • Operate computers for recording, storing, and analyzing information, and use copy/fax/printer machines.
  • Order and stock medications as directed.
  • Pass briefs daily.
  • Create the schedule for the nursing department (includes all staff – CNAs, CMAs, Licensed Nurses, and on-call).
  • Participate in staff interviews and selection of candidates for positions reporting to the Central Supply position, as needed or directed.
  • Supervise positions reporting to the Central Supply position, providing direction regarding expectations, goals, and desired outcomes.
  • Perform other related duties as directed by the Administrator.
