About The Position

The Central Scheduler is responsible for interacting with patients, providers, co-workers, and the general public in a pleasant and professional manner. This role involves utilizing a multiline phone system, assessing caller needs, and taking appropriate action. The scheduler will prepare and route messages within the electronic medical record system (EMR), schedule various types of appointments, obtain new patient information, and notify patients of appointment changes. Additionally, the role requires maintaining knowledge of insurance plans, verifying demographic and insurance information, communicating payment expectations, and assisting with medical records and data input. The Central Scheduler must also manage their EMR inbox and Outlook email, ensure continuous area and telephone coverage, and complete all assigned tasks and reports within deadlines, adhering to all company protocols, OSHA guidelines, and HIPAA policies.

Requirements

  • Knowledge of logging into NCIR and printing shot records.
  • Thorough knowledge of insurance plans, including Medicare and Medicaid, and their protocols for scheduling.
  • Ability to verify demographic and insurance information with patients.
  • Skill in updating information within PMS or referring patients to a Patient Service Representative.
  • Ability to communicate payment expectations to patients.
  • Assistance with medical records and chart document scanning.
  • Assistance with inputting historical patient data into ECW.
  • Ability to manage EMR inbox, including timely review and resolution of messages, assignments, and faxes.
  • Ability to manage Outlook email, including timely review of messages.
  • Ability to maintain area and telephone coverage, coordinating breaks and lunches.
  • Ability to complete all paperwork and reports within established deadlines.
  • Adherence to all BWC protocols and procedures.
  • Adherence to OSHA guidelines.
  • Adherence to all HIPAA policies.

Responsibilities

  • Interact with all patients, providers, co-workers and the general public in a pleasant and professional manner.
  • Utilize a multiline phone system and answer all incoming calls in a timely manner.
  • Assess callers need to determine appropriate action and act or direct accordingly.
  • Prepare accurate and thorough messages within the electronic medical record system (EMR) and route appropriately in a timely manner.
  • Schedule all Healthchecks, physicals, ADHD and follow up appointments as well as reschedule all appointments accurately according to physician’s protocol.
  • Obtain all new patient information required for accurate scheduling.
  • Notify patients of changes in scheduled appointments in a timely and accurate manner.
  • Logs into NCIR and prints shot records when requested by patient.
  • Maintain thorough knowledge of insurance plans BWC currently participates in as well as Medicare and Medicaid and protocol for each plan regarding referrals, pre-certifications, co-pays, deductibles and other pertinent information needed to accurately schedule such patients.
  • Verify all demographic and insurance information with all patients at time appointment is scheduled.
  • Update information within PMS and/or refer patient to Patient Service Representative according to BWC procedures.
  • Communicate to patient payment expectations per BWC financial policy at time appointment is given.
  • Assists with medical records and chart document scanning.
  • Assists with inputting historical patient data into ECW.
  • Maintain in-box within EMR – including timely review and resolution of messages, assignments and faxes.
  • Maintain outlook email-including timely review of messages.
  • Maintain area and telephone coverage at all times, coordinating breaks and lunches with other staff in assigned areas.
