About The Position

Fitchburg Public Schools is seeking a dedicated Central Office Receptionist to provide high-level secretarial, administrative, and operational support to the Director of Multilingual Education and Family Engagement, as well as handle general Central Office duties. The role is crucial in creating an anti-racist, inclusive, and high-expectation environment for all students, focusing on academic and social-emotional growth.

Requirements

  • High school diploma or equivalent (GED)
  • Ability to navigate through various computer programs while multitasking and responding to Central Office/Reception needs
  • Works cooperatively and effectively in a team environment
  • Ability to recognize and resolve discrepancies with minimal assistance
  • Must possess excellent organizational skills
  • Strong attention to detail and ability to meet deadlines in a timely manner
  • Possess knowledge of computers for word processing, data management, information retrieval, telecommunications, and database and spreadsheet programs, including but not limited to, Microsoft Office suite, Google Docs, and ASPEN
  • Good knowledge of spelling and grammar in the English language
  • Demonstrated ability to communicate clearly and effectively, both orally and in writing
  • Ability to work independently and exercise good judgment to support daily operations
  • Ability to establish and maintain positive interpersonal relationships and work collaboratively
  • Ability to work effectively with teachers, support staff, and parents and advocate for children in order to effectively problem solve
  • Strong interpersonal, communication, and organizational skills and ability to work with all stakeholders
  • Belief in the commitment to increasing personal growth, both academic and social-emotional, to obtain the highest level of achievement for every student.

Responsibilities

  • Monitor and screen incoming visitors to determine and direct their appointments.
  • Provide a welcoming environment to all visitors by greeting each visitor.
  • Receive, sort, and distribute incoming mail and outgoing mail.
  • Answer incoming calls and direct/transfer callers to appropriate personnel.
  • Troubleshoot incoming calls/inquiries to determine appropriate assistance.
  • Order supplies for the Enrollment Department and MLE Department.
  • Work collaboratively with the Enrollment Department to identify incoming Multilingual students.
  • Collect and manage EDWIN Reports as needed.
  • Monitor New LEP student screening results and update Screener Scores in district databases.
  • Distribute supplies to and maintain communication with ESL Teachers as needed.
  • Communicate with Multilingual families as needed.
  • Work collaboratively with Family and Community Engagement Coordinator.
  • Provide data and information reports to the Director of Multilingual Education.
  • Distribute supplies MLE Department to schools.
