About The Position

The Central Admissions Coordinator manages the inquiry and admissions process for multiple facilities from the corporate office supporting our Louisiana region. This role serves as a key point of contact for referral partners, families, and internal teams, ensuring timely, accurate, and professional coordination of admissions while supporting occupancy and census goals.

Requirements

  • Associate degree in Healthcare Administration, Marketing, Nursing, or related field required
  • Minimum of 2 years of experience in admissions, healthcare coordination, or a related role
  • Strong understanding of healthcare systems, medical terminology, and insurance/reimbursement processes (Medicare, Medicaid, Managed Care)
  • Excellent organizational, communication, and time management skills
  • Ability to work independently, manage multiple priorities, and make sound decisions in a fast-paced environment
  • Proficiency with computers, EHR systems, and Microsoft Office applications
  • Flexible schedule with the ability to adjust hours based on admissions needs

Responsibilities

  • Manage all aspects of the referral and admissions process, including electronic referrals, e-faxes, phone inquiries, and follow-up communication
  • Respond promptly to hospital discharge planners, families, and referral sources with accurate facility and bed availability information
  • Review referrals using clinical criteria, escalate when needed, and communicate admission decisions efficiently
  • Coordinate with business office teams to verify benefits, confirm payers, and secure pre-authorizations as required
  • Maintain up-to-date knowledge of bed availability, facility services, and payer requirements across all supported locations
  • Communicate projected admissions to facility teams, including room assignments, transportation arrangements, and equipment needs
  • Ensure completion of admission documentation and required signatures prior to resident arrival
  • Collaborate closely with Administrators, Directors of Nursing, and Community Relations teams to support appropriate admission decisions
  • Monitor inquiry, admission, and census trends; maintain logs and prepare reports to support quality improvement initiatives
  • Maintain a database of referral sources, medical contacts, and community resources while staying informed on industry trends and regulations
  • Enter and maintain accurate data in the EHR system
  • Support training and guidance for staff on admissions processes and managed care procedures
  • Uphold HIPAA standards and ensure confidentiality of protected health information
  • Promote resident rights, safety standards, and company policies in all interactions
  • Participate in ongoing education, training, and quality improvement activities
  • Provide excellent customer service through compassionate and professional communication
