About The Position

The Center Administrator is responsible for supporting the efficient day-to-day operations of the assigned center and serves as a key administrative partner to center leadership. This position helps ensure appropriate staffing coordination, facility readiness, operational compliance, and a professional, organized environment for staff, clients, and families.

Requirements

  • High school diploma or GED required
  • 2–3 years of administrative, office management, healthcare, behavioral health, education, or human services experience.
  • Previous experience coordinating staff schedules, call-offs, coverage, and daily staffing needs.
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced center environment.
  • Demonstrated ability to communicate professionally with employees, leadership, clients, families, and external partners.
  • Experience maintaining accurate records, documentation, schedules, and administrative files.
  • Strong computer skills, including Microsoft Office/Google Workspace and the ability to learn organization-specific systems.
  • Ability to monitor daily operations and identify staffing, facility, or operational issues requiring attention.
  • Strong problem-solving and decision-making skills.
  • Ability to maintain confidentiality and handle sensitive employee, client, and family information appropriately.
  • Ability to remain professional and composed when managing unexpected staffing or operational challenges.

Nice To Haves

  • Associate or bachelor’s degree in business administration, healthcare administration, human services, education, or a related field preferred.
  • Experience working in a behavioral health, ABA, healthcare, special education, or child-serving environment.
  • Experience supervising or coordinating BHTs or direct-care staff.
  • Familiarity with staffing ratios, attendance tracking, timekeeping, and workforce scheduling.
  • Knowledge of HIPAA and other confidentiality requirements.
  • Experience in a center-based or multi-disciplinary clinical environment.

Responsibilities

  • Coordinate daily staffing needs, employee call-offs, coverage needs, and schedule execution in collaboration with the Family Liaison.
  • Monitor BHT attendance, punctuality, professionalism, and adherence to established workplace and operational expectations.
  • Assist with addressing day-to-day staffing and operational concerns and escalate concerns to appropriate leadership as needed.
  • Monitor BHT productivity, utilization, cancellations, and other operational trends, identifying concerns or patterns for leadership review.
  • Support effective communication between administrative, scheduling, and clinical team members to promote smooth daily center operations.
  • Ensure treatment rooms, common areas, equipment, and necessary supplies are organized, prepared, and ready for daily services.
  • Monitor center inventory and coordinate the ordering and restocking of approved supplies.
  • Oversee the overall cleanliness, organization, and operational readiness of the center.
  • Coordinate routine building maintenance needs, vendor visits, and facility-related communication with landlords or property management.
  • Identify and promptly escalate facility, safety, or maintenance concerns that could impact center operations.
  • Coordinate IT support requests and assist with troubleshooting or resolving equipment and technology-related issues.
  • Maintain required operational documentation, center records, safety checklists, and facility-related documentation.
  • Conduct routine operational and safety checks to ensure the center remains prepared, organized, and compliant with established policies and procedures.
  • Support implementation and ongoing adherence to organizational policies, procedures, and center-based operational expectations.
  • Partner closely with the Assistant Clinical Director and Family Liaison to support effective center operations and communication.
  • Participate in weekly Center Leadership Meetings to review staffing, scheduling, utilization, facility needs, operational concerns, and center priorities.
  • Communicate operational trends, barriers, and areas requiring leadership attention and assist with implementing agreed-upon action items.
  • Serve as an accessible administrative resource for center staff regarding day-to-day operational questions and needs.
