About The Position

This position is a 1099 contractor role with Music Ministry International, providing Catholic Administrative Coordination services at the US Army Garrison Chapel in Hawaii. The role involves assisting the Catholic Chaplain and Priest in conducting religious education services in accordance with Roman Catholic Church guidelines, Archdiocese for the Military Services policies, Army Regulation 165-1, and Installation Chaplain Policies. The services fall under the USAG Hawaii Chaplain’s Religious Support Program, aiming to meet the religious requirements of Soldiers, Families, and authorized civilians, ensuring the free exercise of religious preference. As a non-personal services contract, the Coordinator is not a member of the Commander’s Staff or Command Chaplain’s Staff. The Coordinator will support comprehensive Catholic Parish Life Programs, facilitate Catholic religious education activities, and serve as a special resource person for the Chaplain Corps. The Coordinator will consult and coordinate with the Catholic priest endorsed by the Archdiocese for the Military Services (AMS) and Garrison RSO personnel.

Requirements

  • Must be a 1099 contractor with Music Ministry International.
  • Must be experienced and fully qualified to perform the required services without supervision or direction by Government personnel.
  • Must present a neat and professional appearance during work hours, conforming to "business casual" industry standard.
  • Must possess the ability to present information orally and in written format (emails, minutes, bulletins, advertising, marketing).
  • Must have effective interaction with individuals from different religious groups.
  • Must be able to speak English clearly with excellent comprehension.
  • Must demonstrate familiarity with the Catholic faith and practices in accordance with Sacred Scripture and Tradition.
  • Must possess a current and valid driver’s license and current vehicle insurance before operating any vehicle or equipment on the installation.
  • Must provide resume together with three references from individuals who can attest to the candidate’s good work and steadiness.
  • References must include: name, title, organization, relationship to you, email address, and phone number.
  • One reference must be a priest or pastor who can attest to your abilities as they relate to this job posting.

  • Experience with a military Catholic Community and chapel environment is highly preferred.

Responsibilities

  • Attend 100% of scheduled meetings with Sr. Catholic Chaplain, Catholic Advisory Committees, Religious Education section, and RSO community meetings.
  • Provide a monthly Catholic Community calendar including Religious Education dates, Garrison Chapel and Catholic community events, holiday closures, and special Holy days.
  • Prepare the liturgical books and Eucharistic elements prior to each Mass service, ensuring the Lectionary and Roman Missal are marked correctly.
  • Prepare Sacred Vessels, unconsecrated hosts, and wine for services according to the Garrison’s SOP.
  • Collect registration information for members of the Catholic Community and provide an updated register monthly.
  • Create a weekly Catholic bulletin containing information about key Catholic Community personnel, weekly Mass, and upcoming events or dates.
  • Prepare facility reservation request forms and develop flyers for Catholic Community events.
  • Submit prepared facility reservation requests for approval by the Priest or other Chaplain sponsor.
  • Prepare publicity flyers for all special services and events.
  • Submit a report of consumed materials and supplies monthly.
  • Collect supporting documentation for members preparing to receive a Sacrament (birth certificates, Baptism and First Communion certificates, etc.).
  • Accurately prepare the corresponding AMS record in the AMS portal, attaching all supporting documents and saving the record for certification.
  • Provide essential documents to assist in the preparation of AMS Quarterly Clergy reports.
  • Keep a record of attendance at all Catholic Community events.
  • Provide monthly attendance documents.
