About The Position

The Catering Coordinator assists with the day-to-day operations including answering telephones, effectively communicating with customers and staff, and data entry. The position will perform other tasks relating to catering sales as outlined below while working directly with the Catering Sales Manager.

Requirements

  • High school diploma and 6+ months of administrative job or internship experience required, preferably in a hospitality environment OR 2- or 4-year degree in hospitality or related field, with relevant job or internship experience preferred
  • Able to communicate clearly and effectively in person, by phone and email.
  • Skilled in Microsoft Office Word, Publisher, Excel, Google Email & Docs.
  • Ability to learn Toast POS System and Tripleseat System
  • Presents self in a highly professional manner.
  • Ability to maintain a positive attitude.
  • Maintains a professional relationship with all coworkers, vendor representatives, managers, customers, and client representatives.
  • Attention to detail.
  • Ability to work well under pressure.
  • Excellent oral and written communication skills.

  • Ability to work well alone and in a team.

Responsibilities

  • Communicates with clients by phone and email in a clear and professional manner
  • Tracks all event and catering deposits, handling client payment information securely and responsibly
  • Coordinates with vendors to place special need orders
  • Maintains physical and electronic files related to events and catering
  • Qualifies incoming leads received via phone and email. Responds directly to leads that are not a fit for Calcasieu, and enters viable leads into Triple Seat for response by Sales Manager
  • Schedules site tours with clients and conducts site tours when Sales Manager is not available
  • Sends clients menu date reminders, final guest count reminders, deposit and final bill receipts.
  • Follow up with the client on holds.
  • Provides administrative support for weekly BEO meetings by proof-reading event orders, printing out meeting packets, making edits as directed by management team, distributing finalized BEO’s via email, and notifying culinary and operations teams of any last-minute changes to the BEO in writing.
  • Performs other administrative tasks as directed by Sales Manager or Director of Business Development
