About The Position

The Catering Coordinator serves as a critical liaison between Management, Clients, and Culinary Team ensuring flawless coordination of logistics and seamless execution. This role is highly collaborative and hands-on, requiring active involvement across operations, marketing, and client communications. The Catering Coordinator plays a key role in maintaining organization, accuracy, and client readiness at every stage of the event process.

Requirements

  • Experience in dining, catering and/or events.
  • Experience in restaurants, hotels, corporate dining, education, military, health care, and/or related food service operations.
  • Must be able to work a flexible schedule as the business demands.
  • Excellent communication, customer service, and organization skills.
  • Proficient computer skills including MS Office products including Word, Excel, PowerPoint, and Outlook.

Responsibilities

  • Input and maintain all event data, including inquiries, tentative holds, and confirmed bookings
  • Assemble and manage comprehensive event files, including orders, invoices, contracts, and related documentation
  • Track deposits and support monthly invoicing and reporting
  • Create detailed function sheets, captain packets, signage, buffet menus, and other event materials
  • Prepare proposals and staffing requests for upcoming events
  • Assist with client walk-throughs, tastings, and on-site coordination to ensure flawless execution
  • Provide hands-on support before, during, and after events as needed
  • Deliver exceptional client communication and service throughout the entire event lifecycle
  • Coordinate across departments to ensure alignment, accuracy, and timely updates
  • Schedule appointments, meetings, and travel for the catering team
  • Partner with the marketing team to promote events and support sales initiatives
  • Support sales efforts with accurate information, proposals, and client-facing materials
  • Research, source, and evaluate vendors to support successful event execution
  • Perform other tasks as assigned to support catering events and culinary operations
  • Critical liaison between Culinary Team and Client on menus
