About The Position

Konare Law is establishing a new Case Monitoring Department to manage cases awaiting action from government agencies. This department will allow attorney teams to concentrate on active legal work and ensure no pending case is overlooked. This is a new team, offering a ground-floor opportunity for an internal candidate to help shape its operations. The Case Monitoring Coordinator will be responsible for managing a caseload of agency-pending matters from start to finish, including tracking, client communication, maintaining MyCase records, and identifying when cases require attorney intervention.

Requirements

  • Minimum 3 years of immigration paralegal or case management experience (internal Konare Law experience in a related role counts).
  • Demonstrated fluency with MyCase.
  • Working knowledge of USCIS filing types, receipt notice interpretation, and portal navigation.
  • Strong written and verbal communication skills – clear, warm, client-facing, and free of legal opinion.
  • Comfort with checklist-driven, documentation-heavy workflows.
  • Ability to work independently within clearly defined authority limits.

Nice To Haves

  • Bilingual (English + Spanish preferred).
  • Prior experience with NVC follow-up procedures.
  • Experience with client de-escalation and difficult-conversation protocols.

Responsibilities

  • Serve as the primary operational owner of matters in agency-pending status (USCIS, NVC/consular, Department of State, and certain Immigration Court matters awaiting a decision).
  • Maintain an accurate inventory of dormant matters within the assigned agency track.
  • Flag matters that require attorney attention or escalation.
  • Send proactive case status updates to clients at least every 60 days using firm-approved templates.
  • Respond to client inquiries within the same business day where possible, and always within 24 hours.
  • Follow the firm's intake script on all client contacts to identify material changes needing attorney review.
  • Monitor pending matters before USCIS, EOIR (limited scope), DOS, NVC, and other agencies.
  • Track published processing times and flag matters that are behind schedule.
  • Upload agency correspondence within 24 hours of receipt.
  • Enter receipt numbers, priority dates, and case numbers with 100% accuracy.
  • Keep case notes and MyCase stages current and accurate at all times.
  • Review every assigned matter on a recurring schedule, with a documented review at least once every 30 days.
  • Work with Legal, Docket, Retention, Finance, and Interpreter teams to ensure case progression.
