Requirements

  • At least two years of plaintiff personal injury intake or pre-litigation case management experience.
  • Experience opening and tracking insurance claims and coordinating with clients, carriers, and medical providers.
  • Bilingual English and Spanish, with strong verbal and written communication skills.
  • Demonstrated ability to manage high call volume and a large caseload while meeting deadlines.
  • Proficiency with Litify, Salesforce, or comparable legal case management software.
  • Fluent in English and Spanish, spoken and written, with the ability to explain legal and medical concepts clearly in both.
  • Minimum of two (2) years in personal injury intake, case management, client services, or a closely related role — or comparable experience in medical case management, patient navigation, or insurance claims.
  • Demonstrated ability to manage a high-volume caseload without letting files go quiet.
  • Comfort working to deadlines and to a documented contact cadence.
  • Clear, empathetic communication with people who are injured and under stress.
  • Accurate, contemporaneous documentation habits.
  • Proficiency with case management software and standard office applications.
  • High school diploma or equivalent required.

Nice To Haves

  • Experience supporting New York personal injury cases is preferred.
  • Experience at a New York plaintiff personal injury firm.
  • Working knowledge of New York No-Fault practice, including the 30-day notice requirement and NF-2 and NF-3 filings.
  • Familiarity with notice of claim practice against municipal and transit defendants.
  • Background in healthcare — care coordination, patient navigation, medical billing, or benefits navigation.
  • Experience with Filevine, Clio, Needles, or a comparable case management platform.
  • Associate’s or bachelor’s degree, or a paralegal certificate.

Responsibilities

  • Monitor personal injury cases from inception to resolution
  • Manage mail correspondence between clients and insurance companies
  • Communicate promptly with attorneys, insurance adjusters, and clients
  • Open claims with carriers
  • File No-Fault Applications (New York)
  • Assist the attorneys with documentation, draft demands, settlement
  • Collect medical records, medical bills, MRI results
  • Follow up IME appointments
  • Schedule medical appointments for clients
  • Attend weekly departmental meetings to provide case updates
  • Edit documentation using Foxit
  • Sign client/attorneys’ documents through DocuSign
  • Control calls, voicemail, and messages through Dialpad
  • Tend to Spanish speaking clients
  • Update files in Litify (software)
