About The Position

The Case Manager owns the administrative flow of litigation files—from document service to scheduling to deadline tracking. As the logistical anchor of the litigation pod, the Case Manager ensures that calendars are current, court documents are filed properly, and clients are informed and supported. This role requires laser-focused organization, urgency, and proactive execution to keep cases moving and the team focused. This isn't a receptionist or a file clerk. This is an air traffic controller for litigation. You anticipate problems before they arise. You manage chaos with calm. You love checklists, you hate missed deadlines, and you get a thrill from a perfectly managed calendar. You make everyone around you better—and you own that. You understand that administrative excellence is the foundation that enables legal success.

Requirements

  • High School Diploma or equivalent required
  • Impeccable Organization: Exceptional ability to create and maintain organizational systems, particularly in client files
  • Deadline Management: Mastery of calendaring systems and jurisdictional rules
  • Communication Excellence: Clear, professional communication with clients and team members
  • Ownership Mentality: Proactive approach to identifying and solving administrative challenges
  • Process Discipline: Unwavering commitment to following established procedures
  • Adaptability: Ability to manage shifting priorities while maintaining attention to detail

Nice To Haves

  • Legal admin or case management experience preferred
  • Familiarity with e-filing systems, calendaring software, and HubSpot

Responsibilities

  • Prepare and e-file court documents in compliance with jurisdictional rules.
  • Serve pleadings and discovery timely and accurately.
  • Manage digital and physical case files to ensure all records are complete, accessible, and up to date.
  • Track all critical dates and deadlines.
  • Proactively notify attorneys and paralegals of upcoming events, avoiding last-minute surprises.
  • Coordinate meetings, depositions, mediations, and client appointments.
  • Confirm with all parties and manage logistics end-to-end.
  • Provide timely updates, confirm appointments, and handle routine communication touchpoints with warmth and professionalism.
  • Monitor task lists, intake documentation, and file movement across stages.
  • Keep everyone informed and aligned—without waiting to be asked.
