About The Position

As a Personal Injury Case Manager, you'll be the steady, reassuring point of contact who guides injured clients through what is often a stressful and unfamiliar process while keeping their cases organized and moving. Exceptional client support is at the heart of this role: you'll check in on clients' recovery, keep them informed, and make sure they feel genuinely cared for from intake through settlement. Alongside that, you'll track high stakes deadlines, coordinate medical treatment and records, manage insurance, repairs, and keep attorneys aligned. Requirements

  • At least one year of experience in personal injury case management is required.
  • Must be fluent in Spanish.
  • A genuine customer service mindset — you're empathetic and patient, and you take pride in making clients feel cared for.
  • Strong organizational and time management skills — you can juggle multiple priorities without dropping the ball.
  • Clear, confident written and verbal communication.
  • A proactive mindset: you spot problems before they become emergencies.
  • A collaborative team player who works well across departments — including comfort coordinating with medical providers and insurance adjusters.
  • Comfort reading and organizing medical records and bills is a plus.
  • Must be flexible and comfortable working extended hours as needed to support litigation deadlines, trial schedules, and case demands.

Responsibilities

  • Deliver Exceptional Client Support: Serve as a warm, reliable point of contact guiding clients through the process and making them feel supported at every step.
  • Ensure client introductions are completed and maintain regular communication schedules, including check ins on treatment and recovery.
  • Respond to client questions and concerns promptly and with empathy.
  • Coordinate reassignment communications and handle non responsive client follow up, keeping clients engaged in both their treatment and their case.
  • Help facilitate smooth attorney and client communication overall.
  • Manage Treatment, Records & Insurance: Monitor each client's medical treatment-help ensure they are treating consistently, flag gaps in care, and track progress toward maximum medical improvement.
  • Order, follow up on, and organize medical records and billing from providers.
  • Identify and track all applicable insurance coverage (at fault/liability, UM/UIM, MedPay, and health) — including carriers, claim numbers, adjusters, and policy limits.
  • Negotiate with medical providers to help maximize the client's net recovery.
  • Track medical and health insurance liens (including Medicare/Medi Cal where applicable) and letters of protection, and support timely lien resolution.
  • Coordinate vehicle repairs and property damage resolution for auto accident clients.
  • Help assemble and coordinate demand packages, and track demand and settlement deadlines.
  • Once a case settles, prepare the client's breakdown of costs, expenses, and liens (net to client settlement statement).
  • Keep Cases Moving: Attend attorney meetings and capture key decisions, action items, and deadlines.
  • Maintain and update case blueprints and the case management tracker to reflect current case status, treatment status, and case progress.
  • Monitor critical deadlines including but not limited to the Statute of Limitations uninsured/underinsured motorist (UM/UIM) demand deadlines, and demand/settlement deadlines; for cases that proceed to litigation, track applicable court deadlines.
  • Keep cases advancing from intake through treatment, demand, and settlement — following up so nothing stalls.
  • Track case progress and report updates during monthly team meetings.
  • Coordinate Scheduling & Coverage: Schedule and coordinate depositions, medical examinations (IME/DME), mediations, and hearings.
  • Resolve scheduling conflicts in coordination with attorneys.
  • Monitor team communications to ensure scheduling needs are addressed quickly.
