About The Position

As our ADA & Leave of Absence (LOA) Case Manager, you will administer and manage our clients' leave and accommodation programs by coordinating Federal, State, and client-specific policies and plans. In this role, you will ensure compliance with applicable laws and regulations, including the Family and Medical Leave Act (FMLA), Americans with Disabilities Act (ADA), state leave programs, and client-specific policies. As a subject matter expert, you will evaluate documentation, facilitate case management processes, and make claim and accommodation determinations while delivering a high-quality employee experience.

Requirements

  • High School Diploma or equivalent required.
  • 1+ year of customer service experience is required.
  • Demonstrate good oral and written communication skills with the ability to interact clearly, concisely, and professionally with employees, managers, healthcare providers, executives, legal partners, and subject matter experts.
  • Display basic knowledge of medical terminology and professional telephone etiquette.
  • Be able to manage sensitive and confidential information with discretion.
  • Have excellent organizational, analytical, and problem-solving skills.
  • Be able to prioritize work effectively and manage a significant volume of cases within established performance standards.
  • Have ability to work in a fast-paced environment with competing priorities and short deadlines.
  • Be able to type 50+ words per minute.
  • Possess intermediate to advanced computer proficiency, including experience with case management systems and Microsoft Office applications.
  • Be in agreement that this is a temporary position with an anticipated duration of 9 to 12 months. The length of the assignment may be adjusted based on business needs and is subject to change at any time.

Nice To Haves

  • Experience in Leave of Absence case management, ADA accommodations, disability case management, or related absence management programs preferred.
  • Knowledge of the Family and Medical Leave Act (FMLA), Americans with Disabilities Act (ADA), state leave laws, and related employment regulations preferred.

Responsibilities

  • Serving as the subject matter expert for client-specific LOA and ADA accommodation programs, including FMLA, state leave laws, and company policies.
  • Administering and managing leave and accommodation cases from initiation through resolution, ensuring timely and accurate processing.
  • Leading and facilitating the ADA interactive process by engaging employees, supervisors, healthcare providers, and other stakeholders to assess accommodation needs and job requirements.
  • Reviewing medical documentation for completeness, sufficiency, and consistency with leave eligibility and accommodation requests.
  • Evaluating the impact of medical conditions and functional limitations on essential job functions and leave eligibility.
  • Identifying and recommending reasonable accommodation in accordance with ADA regulations and client policies.
  • Coordinating leave and accommodation cases when ADA, FMLA, Short-Term Disability (STD), Workers' Compensation (WC), and other absence programs overlap.
  • Researching and applying applicable federal, state, and client-specific regulations to support case decisions and ensure compliance.
  • Utilizing appropriate clinical, legal, and operational resources as needed to support complex case management decisions.
  • Ensuring quality standards for case management are consistently met and participate in continuous quality improvement initiatives.
  • Maintaining complete, accurate, and timely case documentation in accordance with company standards and regulatory requirements.
  • Proactively communicating with employees, managers, healthcare providers, and client contacts to provide updates, obtain required information, and ensure positive customer experiences.
  • Supporting Intake, Customer Service, and other operational teams as needed to ensure seamless service delivery.
  • Effectively managing a high-volume caseload, prioritizing competing demands, and providing timely intervention while maintaining confidentiality.
