Summary The Case Assistant - Data Protection, Privacy, & Security, working in collaboration with and in support of the firm’s strategic initiatives, assists the paralegals and/or attorneys by maintaining case files, preparing documents for production, organizing and maintaining case or other files, updating and maintaining databases, preparing closing books, obtaining information for internal and external sources and performing other administrative tasks. Location This position is located in our San Diego office and offers a hybrid work schedule.

Requirements

  • Demonstrated basic level of proficiency in Word, Excel, Outlook and database experience.
  • Strong communication and interpersonal skills required to interact with paralegals, attorneys and clients on a regular basis.
  • Excellent organizational and attention-to-detail skills necessary to manage volumes of documents, binders, letters, charts, etc.
  • Must have the ability to work effectively in a fast-paced environment.
  • Ability to prioritize multiple assignments to meet deadlines.
  • High School diploma or GED.
  • 1 year demonstrated success working in a fast-paced environment.
  • Effectively communicate, verbally and in writing, with clients, lawyers, business professionals, and third parties.
  • Produce deliverables, answer phone calls, and reply to correspondence in an efficient and responsive manner.
  • Provide timely, accurate, and quality work product.
  • Successfully meet deadlines, expectations, and perform work duties as required.
  • Foster positive work relationships.
  • Comply with all firm policies and practices.
  • Engage in both physical and sedentary activity, such as (a) working at a computer for extended periods of time, including on-screen reading and typing; (b) participating in digital/virtual conference calls; (c) participating in meetings as needed.
  • Ability to work under pressure and manage competing demands in a fast-paced environment.
  • Perform all other duties, tasks or projects as assigned.

Nice To Haves

  • Office experience in a law firm environment supporting paralegals and/or attorneys preferred.
  • Bachelor's Degree.

Responsibilities

  • Incident response: Coordinating responses to data breaches, including notifying regulators and affected individuals as required by law (calls and emails with clients and vendors)
  • Responding to regulatory inquiries or enforcement requests, including organizing and bate-stamping responsive documents
  • Review of customer contracts for data breach notification requirements
  • Drafting documents (i.e., notification template letters, impacted individuals’ data file notification template for mailings; vendor privilege agreements)
  • Sanitizing client deliverables and creating as firm templates
  • Vendor management (review and process invoices, track fee spends for the client)
  • Managing vendor privacy risks: Reviewing third-party contracts to ensure privacy protections and oversight mechanisms are in place.
  • Manage data rooms and case files.
  • Other duties as assigned.
