About The Position

ProActive Physical Therapy Specialists, a member of the Confluent Health family, is looking for a Full Time Front Desk Medical Receptionist to join their North Bend team. Care Coordinators are the heartbeat of the clinic, setting the tone for the entire patient experience by being organized, warm, and professional. This is a fast-paced, multi-tasking role where the ability to stay calm, follow through, and take ownership makes a direct impact on patients and the clinical team.

Requirements

  • High School Diploma or GED
  • 2+ years of experience in a medical front desk, healthcare reception, physical therapy, chiropractic, dental, or similar clinical office setting.
  • Strong communication, organization, multitasking, and follow-up skills
  • Comfort using computers, phones, scheduling systems, electronic medical records, email, and basic spreadsheets
  • Ability to discuss payments, scheduling expectations, and basic insurance information with professionalism
  • A calm, patient-centered approach with strong attention to detail and a willingness to help the team

Responsibilities

  • Create a welcoming, professional first impression for patients, visitors, and referral sources
  • Manage front desk operations including patient check-in, check-out, scheduling, insurance verification/authorization, and phone calls
  • Review, schedule, and follow up on incoming referrals by gathering information, creating or updating patient records, and helping patients understand next steps
  • Keep patient flow and schedules moving by confirming appointments, working waitlists, filling cancellations, and following up with patients who need future visits
  • Collect copays, balances, and other patient payments accurately and professionally, including basic payment tracking or reconciliation when needed
  • Protect patient privacy and uphold HIPAA standards in all front desk interactions and documentation
