About The Position

This role assists case managers with various care management activities, including information gathering, correspondence with members and physicians, and investigating follow-up of complaints. The assistant will coordinate and issue necessary letters and documents, prepare for department meetings, and maintain minutes. Responsibilities also include contacting members and physician offices for information, generating correspondence, and scheduling meetings. Additionally, the role involves data collection, analysis, and report production, including creating specialized reports, charts, graphics, and advanced presentations. The assistant will also work with PHO staff on medical management activities and educate physician office staff on case management procedures and policies. Communication with various healthcare professionals and staff is key to promoting member satisfaction and quality services. The role also includes maintaining department files, retrieving and distributing files, and photocopying materials. Correspondence composition, assembly of mailing materials, and typing from drafts are also part of the duties. Responsibilities

  • Assist case managers with care management activities, including information gathering and correspondence with members and physicians to facilitate quality and timely services.
  • Under direction of Care Manager, investigate and document follow-up of complaints.
  • Coordinate and issue necessary letters, notifications, and documents related to Care Management.
  • Prepare for department meetings and maintain minutes.
  • Contact members and physician offices to gather needed information with direction of Care Manager.
  • Generate necessary correspondence to members and providers.
  • Schedule and arrange meetings and/or appointments with multiple attendees, making decisions regarding revision of supervisor’s/staff’s schedule to accommodate meetings and appointments.
  • Assist with data collection for projects related to Care Management.
  • Create specialized reports and perform analyses of data.
  • Produce charts and other graphics (bar charts, pie charts, pivot tables, etc.).
  • Create advanced data presentations.
  • Create advanced Power Point presentations.
  • Create and format correspondence and various other documents—reports, policies, etc.
  • Gather and organize data from multiple sources in support of management decision-making.
  • Work with PHO staff to file, prepare correspondence, data entry, system documentation, and other medical management related activities.
  • Work with care manager in the education of physician office staff on case management procedures, AdvocateCare policies and procedures, and benefit plan limitations.
  • Communicate with case manager, supervisor, manager, director, other healthcare professionals, and various staff in a positive fashion to promote member satisfaction, quality services delivered, and resolution of issues.
  • Identify and maintain appropriate communication with supervisor involving problems and observations in the course of daily operations.
  • Maintain records and files within the department/unit.
  • Create and set up filing systems for department/unit.
  • Retrieve files and faxes and distribute them as requested.
  • Photocopy materials, as requested.
  • Compose correspondence from notes and/or discussions with supervisor and/or staff.
  • Assemble and prepare material for department mailings, as requested.
  • Type letters, memoranda, reports, and other types of correspondence from rough drafts or provided copy.
