About The Position

This role involves working under the supervision of a Cardiology Supervisor/Director and potentially a Registered Nurse. The primary responsibilities include performing routine clerical functions such as scheduling, patient registration, answering telephones, data collection, and word processing. The assistant will help ensure the efficient flow of patients through departments, focusing on quality care delivery. This includes manipulating logistics, assisting with patient ambulation, and basic patient preparation. The role also requires maintaining positive communication, managing schedules, confirming authorizations, responding to requests, and welcoming patients. Duties extend to pre-registering patients in Meditech, ensuring accurate demographic information, managing EMR updates, and providing general procedure information. The position involves maintaining various schedules and calendars, utilizing PACS for imaging studies, preparing reports, and assisting with quality improvement processes and data collection. There is also a component of assisting with patient flow, room cleaning, patient prep, charge and billing verification, maintaining competency grids and procedure statistics, and supporting parallel departments. Additionally, the role involves performing basic patient care activities according to age-appropriate needs, observing patients, assisting with admissions/discharges/transfers, answering call lights, maintaining patient rooms, transporting patients, ordering and replenishing supplies, utilizing positive communication for conflict resolution, maintaining a safe and clean work environment, contributing to cost-effective care, complying with safety policies, and demonstrating flexibility. The position requires the ability to read, write, and speak English.

Requirements

  • A minimum of a high school diploma or GED required.
  • Current BLS/Healthcare Provider status as per American heart Association standards.
  • New hires and transfers have up to 6 months from date of hire/transfer to obtain BLS/Healthcare Provider certification and must remain continually current.
  • One (1) to two (2) years of recent clerical/scheduling experience is preferred.
  • Medical terminology is strongly preferred.
  • Work requires knowledge generally acquired through a high school education or GED.
  • Job requires ability to read, write and speak English.
  • Completion of Nurse Aide Certification course or equivalent combination of education and experience.
  • Certified Nurse Assistant (CNA) certification issued by the California Department of Public Health (CDPH) required.
  • State certification for staff hired after June 1998.
  • Current BLS/Healthcare Provider status as per American Heart Association standards required.
  • One year acute care experience preferred.

Responsibilities

  • Performs routine clerical functions not limited to scheduling, patient registration, answering telephones, data collection, or word processing.
  • Assists with the efficient flow of patients through departments while focusing on the delivery of quality care.
  • Answers telephone in a professional manner and addresses or directs the call to the appropriate person.
  • Schedules and reschedules inpatient/outpatient procedures as needed, appropriately ensuring physician availability.
  • Assists Respiratory and Sleep Medicine with scheduling.
  • Confirms appointments and prepares and distributes department daily schedule up to 48 hours in advance to staff as needed.
  • Obtains and confirms authorizations and written orders are accurate with appropriate physician signature and requests updates as needed.
  • Responds to SharePoint requests within 15 minutes.
  • Welcomes patient upon arrival using AIDETS.
  • Pre/Registers patient in Meditech obtaining accurate demographic information, personal documentation, valid written order and scans into or updates EMR accordingly.
  • Ensures patient procedures are on appropriate schedules.
  • Performs e-sign and ensures COA and Facesheet transfers to Notes.
  • Provides patient with general procedure information/instructions, refers to clinical staff appropriately.
  • Provides clinical staff with feedback regarding the patient’s ability to ambulate.
  • Maintains CWS/Outlook schedules/Calendars by scheduling vendors and anesthesia (Cath Lab), monthly staff meeting or peer reviews, and other meetings or events pertinent to department flow (Holidays, PM’s).
  • Utilizes PACS to transmit and print/burn CD’s of imaging studies.
  • Prepares Peripheral and Electrophysiology reports and hemodynamic logs and reports for 3rd party coding (MAMI).
  • Assumes active role and assists with data collection/organization in the quality improvement processes.
  • Supports and promotes a positive inter-departmental work environment.
  • Assists in review of Cath Lab hemodynamic procedure logs for equipment and billing accuracy.
  • Assist with patient flow to include ambulation of patient or assisting patient with un/dressing.
  • Assists with the efficient use of resources by aiding with the cleaning of rooms or patient prep.
  • Assists with verifying and expediting charges and billing corrections within 3 business days for Cardiac Wellness Center and CDOC.
  • Maintains department competency grid.
  • Maintains and records department procedure statistics.
  • Assists with the submission of Medicare month end reports (Cardiac Wellness Center).
  • Provides support to parallel departments as needed. (Cardiology/Wellness/CDOC/Cath Lab/Sleep Center/RT).
  • Performs other duties as assigned.
  • Performs basic patient care activities according to age appropriate and developmental needs of the patient.
  • Observes patients and reports any change in conditions to registered nurse.
  • Assists with admission, discharge and transfer of patients.
  • Answers call lights and responds appropriately.
  • Straightens patients' rooms, changes linens, performs routine department tasks.
  • Transports patients as appropriate.
  • Provides care for patients during transportation.
  • Order supplies as needed for patients and replenishes stock.
  • Utilizes positive communication skills to affect conflict resolution and teamwork.
  • Maintains a safe and clean work environment.
  • Contributes to cost-effective patient care by monitoring use of time, equipment and supplies.
  • Complies with safety policies and procedures in order to provide a safe environment for employees, patients and visitors.
  • Demonstrates necessary flexibility in regard to changes in Hospital or department activities.
  • Actively participates in achieving departmental goals.
