About The Position

AVA Law Group is seeking a Campaign Operations Manager to take ownership of the firm’s most active and complex mass tort campaigns and build the structure needed to keep them moving. This is a high-level, hands-on role for someone who can step into a high-volume campaign, whether newly launched, rapidly scaling, or requiring significant buildout, diagnose what is needed, and construct the workflows, case review processes, and case status structures that allow the campaign to run cleanly and at scale. The ideal candidate has a strong working knowledge of how complex litigation progresses, exceptional attention to detail, and the ability to build order out of complexity. POSITION SUMMARY: The Campaign Operations Manager is responsible for building, managing, and optimizing active mass tort campaigns. This role develops and maintains the workflows, case review processes, status tracking, and operational structure needed to support high-volume and complex litigation campaigns at scale. The position oversees day-to-day campaign execution, coordinates with external partners and internal teams, monitors case progression, and ensures timely resolution of operational needs. Success in this role requires the ability to create structure in evolving environments, manage competing priorities, apply sound judgment, and drive efficient, scalable litigation operations through strong process management and attention to detail.

Requirements

  • Strong working knowledge of how complex litigation progresses and what moves cases forward.
  • Proficient in case management systems, with strong general computer skills including Excel and accurate data entry.
  • Highly organized, detail-oriented, and able to manage multiple priorities under pressure in a high-volume environment.
  • Strong problem-solving skills with the ability to build structure where none exists.
  • Strong written and verbal communication skills, including the ability to provide clear updates to attorneys, leadership, partners, and team members.
  • Ability to create practical workflows, checklists, templates, and reference materials that support consistent execution.
  • Comfort directing work, prioritizing tasks, and holding assigned team members accountable for quality and completion.
  • Professionalism, discretion, and sound judgment when handling sensitive client and case information.
  • Ability to work overtime as necessary based on campaign needs.

Nice To Haves

  • Associate or bachelor’s degree in a related field preferred.
  • Minimum 5 years of experience in a law firm or legal setting preferred.
  • Demonstrated project management experience, ideally including building or reorganizing processes rather than only maintaining them.
  • Experience working in mass tort, complex litigation, high-volume case management, or a comparable legal operations environment strongly preferred.

Responsibilities

  • Take ownership of assigned mass tort campaigns and identify gaps in workflow, case statuses, documentation, and team execution.
  • Design and build the processes, case review procedures, dashboards, and workflows each campaign needs to operate cleanly and at scale.
  • Bring new, fast-growing, or underdeveloped campaigns into a clean, organized, and repeatable operating state, and maintain that structure as the campaign runs.
  • Create processes where none exist by diagnosing operational needs, sequencing priorities, and implementing practical solutions quickly.
  • Review case files for completeness against campaign checklists, eligibility criteria, documentation requirements, and attorney review needs.
  • Flag missing information, documentation gaps, status issues, and other items that may prevent cases from moving forward.
  • Route cases to attorneys based on defined campaign criteria so decision-makers have the information needed to evaluate next steps.
  • Track open items and follow up with clients, team members, vendors, and outside partners to keep cases progressing.
  • Build step-by-step processes and project plans that enable assigned team members to execute consistently and accurately.
  • Direct and prioritize assigned team members’ workload for the length of a campaign, overseeing task completion, quality, and follow-through.
  • Create templates, reference materials, checklists, and communication tools that support both the team and clients through the process.
  • Monitor campaign activity and adjust plans, assignments, and priorities as volume, deadlines, or campaign requirements change.
  • Represent the firm in campaign-related meetings, including internal discussions, coordination with supporting vendors, and meetings with outside partners and administrators.
  • Prepare and present campaign updates, case summaries, outstanding item reports, and action plans to align attorneys, support staff, and leadership.
  • Maintain clear communication regarding campaign health, workflow risks, volume trends, and priority needs.
  • Document meeting outcomes, decisions, and next steps to ensure accountability across the campaign team.
