POSITION SUMMARY To provide superior quality, competitive value, and outstanding service by coordinating the responsibilities of the Patient Service Representatives, Registration Counselors and maintaining office flow. This position involves communicating with and supporting clinical staff by accurately documenting patient and financial information.

Requirements

  • High School Diploma or General Equivalency/Educational Diploma (GED) with 5 years’ experience in a medical office or community health center.
  • Customer service and/or medical front office experience
  • Good interpersonal and communication and organizational skills
  • Ability to multi-task
  • Ability to read and write at high school level
  • Ability to use or operate computer, copy machine, typewriter, and fax machine
  • Ability to maintain confidentiality at all times and follow Brevard Health Alliance’s confidentiality guidelines
  • Typing requirement of 40 words per minute
  • Ability to speak and understand at least the English and Spanish language to effectively communicate with our patient population
  • Ability to work well in a team environment, remains motivated, is self-directed, and demonstrates initiative

Nice To Haves

  • Preferred Associate’s or Bachelor's Degree in Healthcare or Healthcare Administration and 1 year of experience in either a clerical role or healthcare environment.
  • Knowledge of medical terminology is preferred

Responsibilities

  • Assists with the organization, training, and coordination of the work of the front office team, providing support when needed
  • Leads all efforts in establishing and maintaining positive teamwork and team building, as needed, with entire staff at the front desk
  • Assists the Site Manager with the coordination and monitoring of Brevard Health Alliance’s phone system, and the associates’ proper usage thereof, making recommendations of improvements & changes where needed on a regular basis. Ensures proper and timely communication between staff, patients, management, and clinical staff
  • Assists with and coordinates weekly, monthly, and quarterly checks and inspections, i.e.: fire drills, safety checks, etc.
  • Perform initial intake on patients, documenting demographic and financial information in the electronic medical record (EMR); assists patients with intake packet
  • Determine insurance information is entered in the electronic medical record (EMR) accurately and in a timely manner; determines insurance coverage and documents in the electronic medical record (EMR)
  • Communicates effectively with every patient with regard to their financial responsibility based on the sliding fee scale, if any
  • Assist patients to Florida Kid Care enrollment and other financial assistance options
  • Initiates Pre-registrations and new patient registration. Ensures patients re-qualify yearly
  • Responsible for the Look Back/Forward report
  • Provides front desk assistance when needed

  • Takes ownership and represents Brevard Health Alliance’s mission and organizational goals established by the executive committee. These include, but are not limited to: Productivity, Quality, Patient Satisfaction, and Employee Retention. It is the duty of each BHA employee to incorporate these goals into all daily work routines and strive to achieve and surpass all goals by working as a team. The mission and goals of BHA will be incorporated into each associate’s Key Performance Indicators and will be evaluated on a monthly and quarterly basis.
  • Greet and assist patients in a timely, professional, and courteous manner with a willing and helpful attitude, ascertain purpose of visit, and direct them to appropriate staff if necessary
  • Answer telephones properly, courteously, and tactfully dealing with the public, physicians, and outside businesses. Takes complete and accurate messages for area personnel not available
  • Documents calls, if necessary, in patient file. Respond to phone messages in a timely manner
  • Schedules patient appointments in the EMR/Practice Management System (PMS)
  • Deals with complaints effectively
  • Assist with area clerical duties such as typing, photocopying, filing, scanning, and faxing documents, medical records, reports, and other materials
  • Order and maintain adequate amount of office supplies; maintain documentation of service/repair on office equipment and reports all malfunctions of equipment to the appropriate Business Manager
  • Responsible for filing, retrieving materials from existing files, and creating new files when appropriate
  • Maintain patient flow by checking in patients in a timely manner; verify address and phone number is current in the electronic medical record (EMR). Ensures patient picture is in Centricity and updated
  • Maintains cash drawer and reconcile daily payments posted to patient accounts
  • Assists with maintaining a clean work area
  • Ensures front door is unlocked/locked at the beginning and end of each day
  • Performs other duties as requested by Site Manager or Director of Business Operations
